Responsibilities

As a Bookkeeper and Customer Service Representative, you will be responsible for providing administrative support and financial services to our clients. Your primary duties will include:

  • Managing day-to-day office operations, ensuring a smooth workflow and effective communication among team members.
  • Overseeing accounts payable and accounts receivable processes, ensuring timely and accurate processing of invoices.
  • Performing bank reconciliations and balance sheet reconciliations to maintain financial integrity.
  • Maintaining the general ledger accounting system, ensuring all entries are accurate and up-to-date.
  • Processing payroll accurately and on time, adhering to all applicable regulations.
  • Utilizing Sage, Quicken, or other accounting software for financial reporting and analysis.
  • Assisting in corporate accounting tasks as needed, providing support during audits or financial reviews.
  • Providing exceptional customer service (phone orders) as needed.

Requirements

To be successful in this role, you will need to possess the following qualifications:

  • Proven experience as an Office Manager or in a similar administrative role with a focus on accounting functions.
  • Strong knowledge of double entry bookkeeping principles and practices.
  • Proficiency in accounting software such as Sage and Quicken; familiarity with other financial tools is a plus.
  • Experience with payroll processing and general ledger accounting is essential.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in all aspects of work.
  • Ability to work independently as well as collaboratively within a team environment.
  • Excellent communication skills, both verbal and written.

Nice-to-Haves

While not essential, the following qualifications would be beneficial in this role:

  • Experience with financial analysis and reporting.
  • Familiarity with other accounting software and tools.
  • Strong problem-solving skills and ability to think critically.
  • Ability to work in a fast-paced environment with multiple deadlines.
