Key Responsibilities

  • Central Mailbox Management: Own the day‑to‑day operation of central mailboxes, triaging incoming requests, updating coverage and assignment matrices, and maintaining overall mailbox health.
  • Tracking Mechanism Development: Design, implement, and maintain robust tracking systems for key Business Resource Operations (BRO) tasks and workstreams, ensuring visibility and accountability.
  • Data Analysis & Follow‑Up: Regularly analyze tracking data to identify bottlenecks, overdue items, or gaps, then proactively engage task owners to drive resolution.
  • Document Retention Management: Oversee the lifecycle of documents and data, applying retention policies, archiving obsolete files, and ensuring compliance with legal and regulatory standards.
  • Meeting Documentation: Capture detailed meeting notes, summarize discussion points, and document actionable takeaways; assist teams in follow‑up communications and task assignments.
  • Process Improvement: Continuously evaluate existing workflows, suggest enhancements, and contribute to the creation of best‑practice guidelines for data entry and mailbox administration.
  • Collaboration & Communication: Serve as a liaison between cross‑functional teams, providing clear updates, status reports, and escalation paths when necessary.

Essential Qualifications

  • Proven experience in data entry, document management, or a related administrative role, preferably within a fast‑moving corporate environment.
  • Demonstrated ability to manage multiple mailboxes or communication channels simultaneously while maintaining high accuracy.
  • Strong analytical mindset with the capability to interpret tracking data, identify trends, and recommend corrective actions.
