Position Overview

We are seeking a highly motivated Remote Customer Service Representative to become an integral part of arenaflex’s East Coast Operations. This role is a 3‑to‑6‑month temporary‑to‑permanent assignment with the possibility of extension based on performance and business needs. The successful candidate will provide telephone‑based support, manage patient scheduling, and ensure seamless communication between patients, referring providers, and internal teams.

The position is 100 % remote, but candidates must be able to work the First Shift (8 AM – 5 PM EST). If you reside outside the Eastern Time Zone, you should be prepared for early‑morning start times to align with our East Coast schedule.

Key Responsibilities

  • Inbound Call Management: Answer and triage incoming calls from patients, providers, and other stakeholders with professionalism and empathy.
  • Online Request Handling: Process web‑based inquiries, chat messages, and email requests promptly, ensuring accurate documentation in the CRM system.
  • Patient Registration: Verify and update patient demographic and insurance information, adhering to HIPAA regulations and internal data‑quality standards.
  • Outbound Outreach: Initiate follow‑up calls to confirm appointments, gather missing information, and provide pre‑visit instructions.
  • Appointment Scheduling: Coordinate and book appointments for neurology, orthopedics, and cardiology services, balancing provider availability with patient preferences.
  • Documentation & Reporting: Maintain detailed call logs, generate daily activity reports, and flag any escalations for senior staff.
  • Collaboration: Work closely with clinical teams, billing departments, and IT support to resolve complex issues and improve workflow efficiency.
  • Quality Assurance: Participate in regular performance reviews, call monitoring sessions, and continuous‑improvement initiatives.

  • Operate in a smoke‑free home office environment that meets arenasflex’s technical standards (high‑speed internet, headset, and dual monitors are preferred).
  • Adhere to strict data‑security protocols, including secure login procedures and encrypted communications.

Qualifications

Required

  • Minimum 2 years of experience in a call‑center or customer‑service role, preferably within the healthcare or related service industry.
  • Demonstrated ability to handle high‑volume call traffic while maintaining accuracy and composure.
  • Proficient typing skills (minimum 45 WPM) and strong command of basic computer applications (Microsoft Office, web browsers, and CRM platforms).
  • Excellent verbal communication, active listening, and telephone etiquette.
  • Ability to work the First Shift (8 AM – 5 PM EST) consistently, regardless of personal time zone.
