Job Summary

As an Administrative Assistant to the Managing Director, you'll play a critical role in supporting our leadership team, ensuring seamless day-to-day operations, and providing exceptional customer service. You'll be responsible for a wide range of administrative tasks, including scheduling, correspondence, data management, and record-keeping. Your attention to detail, organizational skills, and ability to work independently will be essential in this role.

Key Responsibilities

* Provide administrative support to the Managing Director, including scheduling, correspondence, and data management

  • Manage and maintain accurate records, reports, and databases using MS Word, Excel, PowerPoint, and other software tools
  • Coordinate travel arrangements, meetings, and events, ensuring timely and efficient execution
  • Screen calls and visitors, utilizing excellent communication and interpersonal skills to welcome clients, colleagues, and employees
  • Prepare and disseminate correspondence, memoranda, reports, and other documents as required
  • Hold meeting rooms and coordinate catering as necessary to support gatherings
  • Plan and organize large on-site and off-site events
  • Assist in developing, implementing, and monitoring internal business processes and procedures
  • Manage the assigned building floor organization, including ordering supplies, maintaining supply room inventory, managing mailings, and coordinating housekeeping needs
  • Practice health-conscious behaviors in all operational processes and methods

What You'll Need to Succeed

* High school diploma, GED, or equivalent

  • Proficiency in Windows-based applications, including Word, PowerPoint, and Excel
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders
  • Ability to make travel arrangements and coordinate logistics
  • Strong organizational and time management skills, with attention to detail and accuracy
  • Ability to work independently and as part of a team, with a focus on customer service and satisfaction
  • Familiarity with corporate business cycles and methods, including cost reporting, purchasing, and departmental budgeting
  • Four-year degree or 3+ years of relevant experience
  • Hands-on experience with Delta systems and processes
