Processing Specialist

Purpose of the Role Process and review student schedules and enrollment packets. Maintain a consistent process for reviewing, processing, and approving reimbursements submitted by parents. Correspond with parents as needed in a professional, friendly, and timely manner. Essential Functions

  • Process schedules within a 7-day turnaround period, cross referencing vendors and items listed within reimbursement sheets, documents,internal communication channels, social media and other websites.
  • Process reimbursements within a 10-day turnaround period, cross referencing reimbursement sheets, documents, internal communication channels, social media and other websites.
  • Ensure all reimbursement claims comply with company policies and guidelines.
  • Verify receipt of orders and reconcile any discrepancies with invoices.
  • Review and organize incoming enrollment packets from students to ensure all required documents are attached and in order.
  • Enter records accurately into the system, and maintain updated records of enrolled students.
  • Collaborate with the processing team to resolve any issues related to enrollment documentation.
  • Support the procurement process by processing Direct Orders for supplies and materials.
  • Process homeroom logs based on required standards for submission.
  • Research and respond to parent/guardian requests in a kind, friendly, and responsive manner.
  • Communicate effectively with coworkers to provide reliable information to families.
  • Attend team meetings as requested or required.
  • Lead by example to foster an environment that is supportive of OpenEd’s values and represent OpenEd with a high level of integrity and professionalism.
  • Adhere to all federal, state and/or local regulations, OpenEd policies and procedures, and other compliance obligations.
  • Perform other duties as assigned.

  • Time Management: Managing one’s own time and appropriately tracking it in the designated Time and Attendance program.

Qualifications

  • Strong communication and interpersonal skills, both in verbal and written communication.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Extremely detail-oriented, kind, personable, conversational, helpful, and highly organized with a patient disposition.
  • Confidence in the ability to learn various online tools, systems, and programs.
  • Highly motivated with the ability to work independently with minimal supervision and without distractions.
  • Commitment to maintaining flexible availability during traditional business hours in the Mountain Time Zone.
  • Familiarity with Google products such as Gmail, Calendar, Docs, Forms, Sheet, etc.
  • Access to a smartphone, high-speed internet, computer, webcam, and headset.
  • Associate’s Degree from an accredited college of university; or related alternative learning experiences.
  • Proven experience in administrative or clerical roles, with a strong emphasis on data entry and record keeping.
  • Must be eligible to work in the U.S.

Reporting Line This position reports to Madisen Macdonald, Senior Processing Team Lead. Work Context Body positioning: Ability to sit and make repetitive motions at a desk all day. Vision: Ability to effectively use a computer screen, interpret written/printed materials, and other appropriate paperwork. This is an all-day consistent need. Reaching & handling: Ability to enter and retrieve information in computer systems using the necessary paperwork, equipment, and supplies. Use one's hands consistently throughout the day. Conflictual contact: Ability to experience and address unpleasant or angry parents, partners, and/or employees on a limited basis and not past a certain degree of escalation. Environmental conditions: Ability to focus in an environment with background noise if applicable. Pace and scheduling: Ability to work in a fast-paced environment.
