Legal Administrative Assistant (Litigation) PT/MT

This will be a remote position, however, candidates must reside in the Pacific or Mountain time zones. Sampling of Responsibilities:

  • Prepare, organize, index, develop, and manage relevant data including electronic court filings, and evidence.
  • Assist with and organize voluminous discovery projects.
  • Maintain complex calendars.
  • Handle and draft professional correspondence.
  • Review preliminary invoices.
  • Coordinate travel arrangements.
  • Answer phones and act as contact to internal and external customers.
  • Intake new cases.
  • Collaborate and support the team to provide responsive customer service.
  • Perform other administrative tasks as assigned.

Skills & Qualifications:

  • Litigation experience, required.
  • Associate Degree or equivalent training/work experience, required.
  • 5+ years of legal administrative litigation support experience within a legal department or law firm or an equivalent combination of education and experience.
  • Experience with professional services billing systems.
  • ProLaw experience, a plus.
  • Experience with document management systems and best practices, strongly desired.
  • Ability to perform multiple tasks simultaneously while maintaining a positive attitude in a fast-paced environment.
  • Experience with eDiscovery, a plus.
  • Strong typing skills.
  • Effective time management and high level of attention to detail skills to balance the workload of Partner and Associate attorneys and efficiently prioritize requests.
  • Strong communication and interpersonal skills; can collaborate with all levels of staff both orally and in writing.
  • Good analytical skills.
  • Ability to resolve issues quickly and efficiently.
  • Ability to represent a positive and professional image.
  • Demonstrated proficiency in computer software applications, including MS Office (Word, Excel, and PowerPoint); Outlook for calendaring meetings, events, etc. Ability to learn and use other applications may be necessary, such as ProLaw.
  • Proven ability to schedule meetings and conference calls with multiple parties and arrange travel.
  • Advanced level of knowledge of legal terminology.
  • Strong skills to research and problem-solve to obtain information or data from various sources and materials and organize with excellent attention to detail into a comprehensive package.
  • Demonstrated knowledge of filing and record tracking systems, both paper and electronic.
  • Ability to use high level of discretion and maintain all attorney-client confidentiality.
  • Working knowledge of legal process, protocols and procedures.
  • Ability to multi-task within demanding time frames despite interruptions.
