Key Responsibilities • Calendar & Schedule Management: Efficiently organize calendars, coordinate meetings, and manage critical appointments. • Travel Coordination: Arrange comprehensive travel plans, including flights, accommodations, and detailed itineraries for smooth trips. • Social Media Management: Oversee and engage on social media platforms, ensuring timely updates and interactions. • Presentation Development: Craft professional presentations tailored to client specifications. • Financial Administration: Prepare invoices, manage payment follow-ups, and maintain precise financial records. • Expense Reporting: Submit accurate and timely expense reports. • Client Relations: Act as a friendly point of contact for clients, ensuring exceptional service delivery. • Event Planning Support: Assist with light event management tasks, coordinating logistics and overseeing details. • Email Management: Organize and respond to email communications, maintaining an efficient inbox. • Document Management: Draft, organize, and uphold procedural documents for consistent operations. • Newsletter Coordination: Create and distribute newsletters to enhance client outreach efforts. Required Skills • Organizational Skills: Exceptional ability to prioritize tasks and manage time effectively. • Analytical Skills: Proficient in assessing information and developing meaningful solutions. • Digital Proficiency: Familiarity with cloud-based tools such as Google Workspace and MS Office 365. • Communication: Strong written and verbal communication skills, capable of following instructions accurately. • Customer Service Orientation: Committed to providing a positive experience and handling requests with sensitivity. • Confidentiality: Understanding of confidentiality protocols and the trustworthiness to handle sensitive information. Qualifications • Minimum of 3 years of experience as an administrative or executive assistant. • Fully equipped home office, including: • A computer with MS Office 365. • Reliable high-speed internet access. • A smartphone with email capabilities. • A functioning webcam for virtual meetings. • Availability during regular business hours (8 a.m. - 5 p.m.). • Background check required prior to contracting.
