(NRGCO), a leader in court reporting and transcription services, is seeking a highly organized and client-focused Scheduling Associate to join our team. This role is critical in coordinating legal proceedings and meetings while ensuring exceptional client service.We need a self-motivated, detail-oriented, and quality-focused professional, with a passion for delivering outstanding customer service. You have a proven ability to manage complex schedules, resolve problems efficiently, and adapt to new technologies and procedures.   • Respond to client requests via email and phone, ensuring timely and professional communication.
  • Maintain accurate scheduling records in proprietary software, ensuring complete and consistent data entry.
  • Confirm and cancel assignments for the next business day with clients and assigned resources.
  • Coordinate and schedule legal proceedings and meetings, assigning court reporters, videographers, interpreters, and other resources to match client needs.
  • Resolve scheduling issues, escalating complex matters to management as needed.
  • Build and maintain strong professional relationships with clients, subcontractors, and team.
  • Book conference rooms and travel arrangements, including airfare, hotels, and car rentals, nationwide members.
  • Work closely with court reporting team to ensure clients needs are not only met but exceeded.
RequirementsQualifications
  • 0-3+ years of work experience. New grads are encouraged to apply!
  • Excellent oral and written communication skills, with a professional and calm demeanor under pressure.
  • Exceptional organizational and time-management skills with a keen attention to detail.
  • Ability to work independently, collaboratively, and in a fast-paced, multi-tasking environment.
  • Flexibility to work after hours as needed and maintain an exceptional attendance record.
  • Demonstrated ability to maintain confidentiality of sensitive information.
  • Proven experience in administrative roles, ideally in a legal or court reporting environment.
  • Strong proficiency with database management systems and office software; intermediate to advanced computer skills are required.
  • Experience in the legal industry (paralegal, legal secretary, or court reporting) is strongly preferred.
  • Preferred - Bachelor’s degree in Business Administration, Public Relations, Law or a related field, a degree or certificate as a Paralegal/Legal Assistance, or equivalent work experience.
