Job Overview We are seeking a highly organized and proactive Virtual Assistant to provide comprehensive administrative support to our team. The ideal candidate will possess strong communication skills and be adept at managing multiple tasks efficiently. This role is essential in ensuring the smooth operation of daily activities and supporting our executives in their responsibilities. Responsibilities • Manage and maintain Outlook Calendar, scheduling appointments and meetings efficiently. • Provide executive administrative support, including handling correspondence and preparing reports. • Coordinate event planning, including logistics, invitations, and follow-ups. • Organize and file documents systematically for easy access. • Exhibit excellent phone etiquette while managing incoming calls and inquiries. • Demonstrate strong organizational skills to prioritize tasks effectively. • Perform general administrative duties such as data entry and document preparation. • Proofread documents to ensure accuracy and professionalism before distribution. • Oversee calendar management for executives, ensuring all commitments are met timely. • Utilize QuickBooks for basic bookkeeping tasks as needed. Qualifications • Proven experience as a Virtual Assistant or in a similar administrative role. • Proficiency in Outlook Calendar and other Microsoft Office applications. • Strong organizational skills with attention to detail. • Excellent written and verbal communication abilities. • Familiarity with event planning processes is a plus. • Ability to handle confidential information with discretion. • Experience with QuickBooks is desirable but not mandatory. • A proactive approach to problem-solving with strong decision-making capabilities. • Ability to work independently while managing multiple priorities effectively. • Experience with sales leads/gen and Salesforce is a plus • Experience with social media marketing is a plus Join our team as a Virtual Assistant, where your contributions will play a vital role in enhancing productivity and supporting our organizational goals.
