Job Overview We are seeking a dedicated and detail-oriented Part-Time Executive Assistant / Recruiting Assistant to play a pivotal role in supporting our multifaceted operations. This remote position offers the ideal candidate the chance to thrive in a diverse work environment while contributing to various administrative, project management, recruiting, and event coordination tasks. The selected individual will maintain a presence one day a week at our Temecula and San Diego offices, allowing for direct engagement with our teams. Key Responsibilities • Provide high-level executive support by managing calendars, scheduling appointments, and organizing travel arrangements. • Ensure meticulous data entry and record-keeping within our CRM systems and spreadsheets. • Assist in the recruitment process, including candidate sourcing, resume screening, and interview scheduling. • Oversee and manage small to mid-sized projects, monitoring timelines and deliverables, while providing regular updates. • Address customer inquiries and resolve issues, guaranteeing exceptional service and client satisfaction. • Plan and coordinate in-person company events, client presentations, and community engagement initiatives across both locations. • Collaborate with external vendors to handle event logistics, including venue selection, catering, and technical setups. Required Skills • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM systems (such as HubSpot). • Familiarity with project management tools (e.g., Asana, Trello). • Exceptional organizational abilities with a talent for multitasking and prioritizing effectively. • Strong communication skills, both written and verbal. • Capability to work independently and collaboratively within a team. • Must be able to commute to both San Diego and Temecula one day a week. Qualifications • A minimum of 3 years of experience in an Executive Assistant or Administrative Assistant capacity, encompassing data entry, recruiting, and project management. • Candidates should ideally be based in or able to reliably commute to San Diego and Temecula.

Compensation
