Position Title: Administrative Assistant - Learning Services Job Description: The Administrative Assistant for Learning Services provides ongoing administrative support to all areas of Learning Services such as disability support, Summit Scholars, Mount Cares, and the testing center. Essential Duties and Responsibilities: Overview: Maintain professionalism and excellent customer services skills... in all aspects of the job. Greet visitors and callers cordially, ascertain nature of business and connects visitors to appropriate person. Provide accurate and timely information to callers and visitors. Maintains strict confidentiality of student and staff information and files. Ability to support multiple academic goals and initiatives for a department. Ability to maintain dignity and respect for all Mount students, faculty, staff, and all visitors. Clerical support: Must be proficient in Outlook, Excel, and Word. Need for proficiency with spreadsheets and data management Manages information on department shared drive, Share Point, and Microsoft Teams. Ability to execute various office tasks, such as photocopying, scanning, filing, and creating packets/binders. Composes, edits, and mails routine correspondence. Maintains shared calendars for members of the department. Maintains files and records for all areas of Learning Services. Handle the incoming and outgoing mail for the department, including pick-up and drop-off of any paper tests/exams Answer the phone for the department, directing calls and taking messages for the staff as needed. Data management: Compile, organize, and type statistical reports as requested. Organize and maintain records for student case management, including pulling data as needed from the student information system Budget and Ordering: Maintain a detailed account of budgetary expenditures. Monitor and orders office supplies. Process purchase requisitions. Test Proctoring: Coordinate test scheduling and organization with the Testing Center Coordinator. Proctor tests as needed. Supervise student workers: Oversee and supervise student workers, including setting their work schedules, monitoring their work hours, processing their payroll, and upkeep with their training needs; serve as the main contact point for student worker communications Job Requirements: Education, Experience and Skills: Minimum Qualifications: High school diploma. Computer knowledge (including Microsoft Office). Great interpersonal skills. Ability to maintain confidentiality. Preferred Qualifications: Bachelor’s degree. Minimum of 2 years working in a college/university environment. Minimum of 2 years working with students with disabilities. Knowledge of the ADA and Section 504 Knowledge of FERPA and issues of confidentiality. Salary/Benefits Minimum Pay Rate: 16.50/hour This is a full-time (35 hours per week) position with full benefits and annual, holiday and sick leave.
