Key Responsibilities

As a Remote Travel Experience & Customer Care Concierge at arenaflex, you will wear many hats, each one essential to delivering an exceptional client experience. Your day-to-day responsibilities will include, but are not limited to:

  • Delighting Clients Daily: Go above and beyond to surprise and delight each client, consistently finding new and innovative ways to enhance their experience and ensure no detail is overlooked.
  • Responding Promptly and Professionally: Address client requests, questions, and concerns with care, accuracy, and urgency, always aiming to exceed expectations.
  • Managing Payments and Billing: Process payments, send out timely payment reminders, and maintain accurate financial records for all client accounts.
  • Handling Itinerary Adjustments: Manage flight changes, seat assignments, and other travel modifications with precision and efficiency.
  • Providing Concierge-Level Service: Arrange spa appointments, tours, dinner reservations, and special experiences tailored to each client’s preferences and interests.
  • Personalizing the Client Experience: Correspond with clients to understand their preferences, coordinate welcome notes and surprises, and communicate client preferences to hotels and vendors at least one week before departure.
  • Preparing Travel Documents: Compile and distribute client documents, travel tips, and essential information in either electronic or printed format no later than three weeks before departure.
  • Supporting Internal Coordination: Assist with distributing information and coordinating internal team needs as required, ensuring smooth operations across the organization.
  • Maintaining CRM Records: Update daily activities, reports, and client status in our cloud-based CRM system to ensure data accuracy and continuity of service.
  • Managing Your Schedule: Set your own work schedule and manage your time effectively and efficiently to meet client needs and team expectations.
  • Overseeing Client Profiles and Bookings: Maintain detailed client profiles and manage all aspects of their bookings from inception through completion.
  • Serving as Emergency Backup Support: Act as a backup travel support contact and main point of contact for clients during emergencies, which may occasionally occur outside of normal office hours.
  • Continuous Improvement: Stay curious, grow in expertise, and actively implement new tools and strategies to strengthen our remote workplace culture and elevate the client experience.
