Position Overview

Job Title: Data Entry Specialist I – Healthcare Records & RAR Database Coordinator Location: 1225 Jay Lane, Graham, NC 27253 (Onsite) Duration: 6 Months Shift: 1st Shift, 8:00 AM to 5:00 PM (Full-time, 40 hours/week) Compensation: $15.00/hour

Key Responsibilities

As a Data Entry Specialist I at arenaflex, your primary focus will be on locating, matching, and verifying documentation that supports healthcare refund processes. You will work closely with internal teams to ensure that all records are accurately documented, properly categorized, and entered into the RAR (Remittance Advice and Reconciliation) database. Your day-to-day responsibilities will include:

  • Document Matching and Verification: Locating and matching source documents as proof of refunds being issued to patients, clients, or third-party entities. Ensuring every transaction is supported by complete and accurate documentation.
  • SOP Compliance: Following all Standard Operating Procedures (SOPs) as outlined for each assignment, maintaining consistency and quality across all tasks.
  • Excel Log Maintenance: Updating and maintaining detailed Excel logs to track workflow, completed tasks, and inventory activity.
  • Inventory Management: Counting and splitting inventory within the RAR database, ensuring all entries are correctly categorized and recorded.
  • Data Entry and Documentation: Reading source documents and entering data into specified data fields with high accuracy and speed.
  • Activity Logging: Maintaining comprehensive logs of daily activities and completed work to support reporting and audit requirements.
  • Reporting: Publishing complete and accurate reports to management on a daily, weekly, and monthly basis.
  • Email Communication: Composing professional emails to internal and external stakeholders as needed.
  • Research and Translation: Researching information and translating correspondence into appropriate data entry within the RAR database.
  • Template Management: Uploading RAR templates and applying correct naming conventions to ensure data integrity.
  • Quality and Productivity Standards: Meeting established quality and productivity benchmarks consistently.
  • Issue Escalation: Communicating any unusual trends, issues, or concerns to department management in a timely manner.
  • Customer Interaction: Interacting professionally with internal and external customers, treating all individuals with courtesy, respect, and professionalism.

Required Qualifications and Skills

To succeed as a Data Entry Specialist I at arenaflex, candidates must possess a combination of technical proficiency, organizational skills, and interpersonal abilities. The following qualifications are required:

  • Education: High School Diploma or equivalent required.
  • Experience: 1–3 years of applicable experience in data entry, administrative support, or a related field.
  • Computer Proficiency: Basic to advanced computer knowledge, including familiarity with Microsoft Office Suite (Word, Excel, Access).
  • Microsoft Excel and Access: Intermediate-level skills required for data entry, reporting, and database management.
  • Data Entry Skills: Demonstrated ability to read, understand, and interpret correspondence and translate it accurately into data fields within the RAR database.
  • Typing Skills: Proficient in alpha/numeric typing with a high degree of accuracy.
  • Time Management: Strong personal time management skills and the ability to work independently with minimal supervision.
  • Attention to Detail: Exceptional accuracy in documenting and recording information.
  • Communication Skills: Strong verbal and written communication skills, with the ability to interact effectively with team members, supervisors, and external stakeholders.
  • Interpersonal Skills: Ability to work collaboratively and professionally in a team environment.
  • Adaptability: Flexibility to adapt to changing environments, duties, priorities, and procedures.

Preferred Qualifications

While not required, the following qualifications will give candidates a distinct advantage:

  • Previous experience in medical billing or healthcare-related data entry.
  • Intermediate to advanced computer skills, with the ability to quickly learn new software systems.
  • Advanced Microsoft Excel skills, including formulas, pivot tables, and data validation.
