About arenaflex

arenaflex is a forward‑thinking leader in the health‑information ecosystem, delivering cutting‑edge solutions that empower providers, insurers, and patients to navigate the complexities of modern healthcare. Our mission is to transform raw clinical data into actionable insights, ensuring every encounter is accurately captured, reimbursed, and stored for future care. As a rapidly expanding organization, arenaflex blends technology, compliance expertise, and a culture of continuous learning to set new standards for data integrity and patient‑centered service. Join us and become part of a team that values precision, collaboration, and the relentless pursuit of excellence in medical information management.

Why This Role Matters

In the fast‑paced world of health‑care finance, the accuracy of every code, charge, and demographic entry can mean the difference between timely reimbursement and costly delays. As a Medical Data Entry Associate at arenaflex, you will be the guardian of that accuracy. Your work will directly influence the financial health of our provider partners, support compliance with federal regulations, and contribute to the seamless flow of information across electronic health record (EHR) platforms such as EPIC. This is more than data entry—it is a pivotal role that safeguards the integrity of the entire billing lifecycle.

Key Responsibilities

  • Review and verify assigned diagnosis and procedure codes (ICD‑9‑CM, ICD‑10‑CM, CPT, HCPCS, UHDDS) to ensure compliance with HIPAA and payer‑specific guidelines.
  • Abstract clinical information from physician notes, lab reports, and imaging studies to obtain the most specific and appropriate code possible.
  • Contact physicians, nurse practitioners, and other clinical staff for clarification of ambiguous or incomplete documentation, documenting all interactions in the system.
  • Maintain up‑to‑date knowledge of coding updates, regulatory changes, and reimbursement policies through continuous education and certification renewal.
  • Utilize web‑based coding tools, reference books, and internal knowledge bases to resolve coding challenges quickly and accurately.
  • Navigate multiple information systems to select the correct patient account, ensuring that each charge is reviewed, verified, and entered against the appropriate encounter.
  • Participate in internal and external audits, identifying lost charges, correcting discrepancies, and providing recommendations for process improvement.
  • Gather demographic, insurance, and encounter information from a variety of sources (e.g., registration forms, referral letters, electronic uploads) to support accurate billing of professional fees.
  • Enter and verify patient demographics, charge details, and supplemental comments into the computerized billing system, adhering to arenaflex’s data‑quality standards.
  • Perform manual charge entry when automated feeds are unavailable, ensuring that every service rendered is captured for reimbursement.
  • Create new patient registrations in EPIC when required, linking clinical documentation to the correct encounter and stakeholder.
  • Respond promptly and professionally to inquiries from provider offices, internal departments, and insurance carriers, providing clear explanations and resolutions.

Essential Qualifications

Educational Background

  • High school diploma or equivalent (GED). A post‑secondary certificate in medical coding, health information management, or a related field is a plus but not required.

Experience

  • No prior professional experience is required; however, any exposure to medical terminology, coding, or billing processes will be advantageous.

Preferred Skills & Competencies

  • Attention to Detail: Ability to spot inconsistencies, missing data, and potential coding errors that could affect reimbursement.
  • Analytical Thinking: Comfort interpreting clinical documentation and translating it into accurate billing codes.
  • Communication Skills: Clear, courteous, and concise written and verbal communication when interacting with clinicians and payers.
  • Technical Proficiency: Familiarity with EHR systems (especially EPIC), billing software, and web‑based coding resources.
  • Time Management: Ability to prioritize multiple accounts, meet deadlines, and maintain high productivity without sacrificing quality.
  • Adaptability: Willingness to learn new coding updates, regulatory changes, and software enhancements as the healthcare landscape evolves.
  • Team Collaboration: Work effectively with auditors, compliance officers, and other data entry associates to achieve shared goals.

Professional Development & Growth Opportunities

arenaflex invests heavily in the career trajectories of its employees. As a Medical Data Entry Associate, you will have access to:

  • Structured onboarding that includes hands‑on training with seasoned coders and live demonstrations of EPIC workflows.
  • Paid tuition assistance for certification programs such as Certified Professional Coder (CPC) or Certified Coding Specialist (CCS).
  • Monthly webinars covering the latest updates to ICD‑10‑CM, CPT, and HCPCS coding sets, ensuring you stay ahead of industry changes.
  • Mentorship programs that pair you with senior coding analysts, fostering knowledge transfer and leadership development.
  • Clear promotion pathways to roles such as Senior Coding Analyst, Billing Supervisor, or Compliance Specialist based on performance and certification attainment.

Compensation, Perks, & Benefits

While specific salary figures will be discussed during the interview process, arenaflex offers a competitive compensation package that reflects the importance of accurate medical data entry. Benefits include:

  • Comprehensive health, dental, and vision insurance plans with employer contributions.
  • Flexible paid time off (PTO) and holiday schedule to support work‑life balance.
  • Remote‑work options and a modern home‑office stipend for eligible employees.
  • Retirement savings plan with company matching contributions.
