About the Role

As a Customer Service Representative at arenaflex, you will serve as the primary point of contact for customers seeking repair and warranty services. Your role encompasses the administration of comprehensive customer service programs, working collaboratively with technically trained professionals to address customer needs proactively. You will coordinate investigations into customer complaints, develop solutions that achieve equitable outcomes, and implement programs responsive to evolving customer requirements.

Reporting to a supervisor with general guidance, you will exercise independent judgment while applying established practices and procedures. This position offers the unique opportunity to pursue initiatives that enhance the effectiveness of the customer service group and drive measurable improvements in customer satisfaction metrics.

Key Responsibilities

  • Repair Management: Manage the complete repair lifecycle from initial customer or channel request through final delivery, including oversight of operations for our primary location and potential coordination with our Warminster, PA facility
  • Data Entry and Documentation: Request and accurately enter all required information according to written processes to execute repair orders efficiently and in compliance with company standards
  • Priority Coordination: Manage repair priorities in collaboration with repair technicians to meet established schedules and key performance indicators (KPIs), ensuring timely delivery and customer satisfaction
  • Problem Resolution Leadership: Lead problem resolution activities addressing capacity constraints, material shortages, customer issues, and urgent repair turnaround requests with creativity and resourcefulness
  • Order Processing: Complete repair orders including Service Orders, Sales Orders, and Service Notifications per established processes, ensuring invoices are accurate and promptly delivered to customers
  • KPI Achievement: Support activities that meet critical KPIs including delivery performance, revenue targets, safety standards, quality benchmarks, and operational integrity
  • Data Analysis and Reporting: Run reports, review detailed datasets, and recommend process changes that lead to improved KPI delivery and operational efficiency
  • Continuous Improvement: Participate in or lead improvement activities deemed appropriate to meet or exceed service goals, contributing to a culture of operational excellence
  • Cross-Functional Support: Support other roles or tasks as requested by management, demonstrating flexibility and a team-first mentality

Essential Qualifications

To succeed in this role, candidates should possess:

  • A Bachelor's Degree combined with 2 to 5 years of relevant professional experience
  • Alternatively, a special combination of education and experience and/or demonstrated accomplishments that showcase equivalent capabilities
  • Strong organizational skills with the ability to manage multiple repair cases simultaneously while maintaining attention to detail
  • Excellent written and verbal communication skills for interfacing with customers, technicians, and cross-functional teams
  • Proficiency in data entry, report generation, and analysis using enterprise software systems
  • Demonstrated problem-solving abilities and sound judgment when working under general supervision
