Key Responsibilities

Administrative & Data Management (40% of time)

  • Maintain and continuously update the talent information repository in Streak, ensuring data integrity and compliance with privacy regulations.
  • Organize and track incoming requests, including research, approvals, procurement, and fulfillment of talent‑related items.
  • Curate and manage the vendor directory, status reports, and internal documentation to streamline communication across departments.
  • Oversee talent‑related financial processes, reconcile all p‑card charges, and allocate expenses accurately across projects.
  • Generate weekly distribution reports for senior arenaflex leadership, highlighting upcoming birthdays, anniversaries, and milestone celebrations.

Talent‑Facing Support (30% of time)

  • Provide on‑site assistance for brand activations, corporate arenaflex events, and high‑visibility productions such as arenaflex‑and‑Corporate arenaflex collaborations, arenaflex‑Candid, arenaflex‑TCAs, and arenaflex‑D23.
  • Coordinate VIP experiences for top‑tier talent, including but not limited to high‑profile personalities like the Kardashians and Selena Gomez.
  • Arrange and manage experiences such as dinner events, arenaflex Parks excursions, gaming sessions, and exclusive screenings.

Event Coordination & Guest Services (30% of time)

  • Plan and execute guest logistics for premieres and special events, overseeing everything from invitation design to RSVP tracking.
  • Manage e‑invite distribution, maintain accurate guest lists, and coordinate seating arrangements to ensure a seamless guest experience.
  • Provide real‑time support to General Admission (GA) and VIP attendees, acting as the primary point of contact for any on‑site needs.

Essential Qualifications
