Position Overview: Patient Care Customer Service Coordinator – Remote Sleep Central After-Hours Call Center

arenaflex is currently seeking a dedicated, compassionate, and detail-oriented Patient Care Customer Service Coordinator to join our Sleep Central After-Hours Call Center team in Murray, Kentucky. This is a fully remote position that allows you to work from the comfort of your own home from day one of employment, while still being an integral part of a dynamic, mission-driven organization. In this role, you will serve as a vital link between our patients and the life-changing medical equipment and services they depend on.

As a Patient Care Customer Service Coordinator, you will be responsible for reaching out to patients to coordinate the delivery of essential medical equipment, taking and processing patient orders, verifying patient information with meticulous accuracy, and ensuring that all documentation is completed in a timely and efficient manner. Schedule and Work Environment

This position requires a unique schedule that includes working five days per week, specifically:

  • Every Saturday and Sunday
  • Three evening shifts during weekdays, with shifts starting at or after 4:00 PM Central Time

Schedules may vary, and specific shift assignments can be discussed in detail during the interview process. This schedule is ideal for individuals who thrive in non-traditional work hours, prefer evenings and weekends, or are looking for a role that offers flexibility outside of the standard 9-to-5 workday. All work is performed remotely, allowing you to maintain a healthy work-life balance while contributing to a meaningful cause.

Additional Requirements: Candidates must reside in the United States and must live within 60 miles of any arenaflex location. This proximity requirement ensures that team members can occasionally visit local offices for training, team meetings, or other in-person engagements as needed.

Key Responsibilities

As a Patient Care Customer Service Coordinator at arenaflex, you will take on a variety of important responsibilities, including but not limited to:

  • Patient Outreach and Communication: Accurately transcribe patient profiles over the telephone, including comprehensive data entry of patient information. Make outbound calls to patients as needed to gather required details, confirm orders, and provide updates on delivery schedules.
  • Documentation and Compliance: Obtain all medically necessary documentation required for each patient order, ensuring full compliance with healthcare regulations and company policies. Verify that all required information is complete and accurate before processing orders.
  • Order Processing: Process patient orders efficiently through our On-line Pharmacy system, ensuring timely and accurate entry. Coordinate with relevant departments to ensure smooth order fulfillment and delivery.
  • Issue Resolution: Resolve tracking issues, reschedule shipping orders for patients experiencing delays, and troubleshoot problems based on patient feedback regarding the scope and magnitude of any equipment or service issues.
  • Order Verification: Verify that all orders are complete, accurate, and meet both patient needs and regulatory requirements before final processing.
  • General Support: Perform other duties as assigned by management, contributing to the overall success of the team and the satisfaction of our patients.

Employment Contingencies

Employment with arenaflex is contingent upon the successful completion of the following:

  • A comprehensive background investigation (company-wide)
  • A drug screen (when applicable to the position)
  • Possession of a valid driver's license in the state of residence with a clean driving record (when applicable to the position)

Essential Qualifications

Education and Experience

  • High school diploma or GED equivalent is required
  • Prior experience in the medical field is highly preferred
  • Experience in administrative record management is a strong plus
  • Strong customer service background with a proven track record of excellence

Skills, Knowledge, and Abilities

  • Effective communication skills in English, both oral and written, with the ability to convey information clearly and compassionately
  • A helpful, knowledgeable, and polite demeanor while consistently maintaining a positive and professional attitude
  • Ability to interpret a variety of communications, including verbal, non-verbal, written, listening, and visual cues
  • Strong commitment to maintaining confidentiality and exercising discretion and caution when handling sensitive patient information
