As part of arenaflex’s rapidly expanding remote workforce, you will join a collaborative community that values precision, accountability, and continuous learning.

Why This Role Matters

In today’s data‑driven healthcare ecosystem, accurate and timely entry of medical documentation is the foundation of effective care coordination, claims processing, and regulatory compliance. As a Remote Healthcare Data Entry Specialist, you will be the critical link that transforms complex medical records—such as Independent Medical Reviews, physician notes, and claim forms—into structured, searchable data that clinicians, insurers, and analysts rely on every day. Your work will directly influence the speed at which patients receive care, the accuracy of reimbursement cycles, and the integrity of health‑information reporting.

Key Responsibilities

  • Review and interpret a variety of medical documents, including Independent Medical Reviews, physician reports, and insurance claim forms.
  • Extract relevant data points (e.g., patient identifiers, diagnosis codes, treatment dates, and outcome measures) and accurately input them into the designated electronic database using Microsoft Excel and Microsoft Word templates.
  • Maintain strict adherence to data‑entry standards, ensuring consistency, completeness, and compliance with HIPAA and other regulatory requirements.
  • Collaborate with fellow coordinators and supervisors to resolve ambiguities, verify missing information, and confirm data accuracy before final submission.
  • Initiate outbound calls to healthcare providers, patients, or insurance representatives to obtain clarification or additional documentation when required.
  • Monitor daily, weekly, and monthly productivity metrics, meeting or exceeding quota expectations while maintaining high quality scores.
  • Document all communications, decisions, and data‑validation steps within the case management system for auditability.
  • Participate in regular virtual team huddles, training sessions, and continuous‑improvement workshops to stay current on industry best practices and arenaflex’s evolving processes.
  • Provide courteous, solution‑focused customer service to internal and external stakeholders, ensuring a positive experience throughout the data‑entry lifecycle.

Essential Qualifications

  • High School Diploma or equivalent; additional coursework in health administration, medical terminology, or related fields is a plus.
  • Minimum of one (1) year of proven remote work experience, demonstrating reliable self‑management, time‑keeping, and communication skills.
  • Demonstrated proficiency with Microsoft Excel (including formulas, pivot tables, and data validation) and Microsoft Word (template creation and formatting).
  • Reliable high‑speed internet connection and a personal computer or laptop (no Chromebooks) that meets arenaflex’s technical specifications.
  • Strong attention to detail, with the ability to spot inconsistencies, typographical errors, and data entry anomalies.
  • Excellent written and verbal communication skills, especially when interacting with healthcare professionals and insurance representatives.
  • Experience working in a metrics‑driven environment, with a track record of meeting or exceeding productivity targets.
  • Prior exposure to healthcare, insurance, or claims processing environments is preferred but not mandatory.

Preferred Qualifications & Additional Skills

  • Certification in Medical Coding (CPC, CCS) or familiarity with ICD‑10, CPT, and HCPCS coding systems.
  • Experience with electronic health record (EHR) platforms or claims management software.
  • Ability to quickly learn and adapt to proprietary arenaflex data‑entry tools and workflow automation solutions.
  • Strong analytical mindset, capable of interpreting clinical language and translating it into standardized data fields.
  • Demonstrated problem‑solving abilities, using critical thinking to determine next steps when faced with incomplete or ambiguous documentation.
  • Customer‑service orientation, with a focus on building rapport and trust during phone interactions.

Core Competencies for Success

  • Accuracy & Precision: Commitment to error‑free data entry and meticulous verification.
  • Time Management: Ability to prioritize tasks, meet deadlines, and balance multiple case loads efficiently.
  • Communication: Clear, professional, and empathetic communication with diverse stakeholders.
  • Technical Literacy: Comfort navigating spreadsheets, word processors, and web‑based case management platforms.
  • Adaptability: Openness to feedback, continuous learning, and evolving process improvements.
