Our mission is to empower people navigating the complexities of insurance claims by leveraging cutting‑edge technology, data‑driven insights, and a dedicated team of remote professionals. As a fully distributed organization, arenaflex embraces flexibility, diversity, and continuous learning, creating an environment where every employee can thrive while working from the comfort of their own home.

Why This Role Matters

In today’s fast‑paced insurance landscape, the accuracy and timeliness of claim data entry are critical to ensuring that policyholders receive the support they deserve. As a Customer Service & Data Entry Representative at arenaflex, you will be the backbone of our claims coordination team, transforming raw claim information into actionable data, resolving gaps, and helping to maintain the integrity of our claims processing pipeline. Your work will directly influence the speed of claim settlements, the satisfaction of our clients, and the overall reputation of arenaflex as a trusted partner.

Key Responsibilities – What You’ll Do Every Day

  • Enter claim details accurately into arenaflex’s proprietary claims management system, ensuring compliance with internal data standards and industry regulations.
  • Conduct thorough follow‑ups with internal teams and external partners to obtain missing documentation, clarification, or additional information required for claim approval.
  • Review and verify invoices related to claim expenses, confirming that amounts, dates, and service codes align with policy terms.
  • Generate, compile, and distribute regular reports that summarize claim status, processing times, and any outstanding items for management review.
  • Maintain meticulous records of all communications, data entries, and audit trails to support internal audits and external regulatory reviews.
  • Collaborate virtually with claims adjusters, underwriting specialists, and customer service agents to resolve complex claim scenarios.
  • Identify patterns or recurring data entry errors and propose process improvements to enhance efficiency and accuracy.
  • Participate in ongoing training sessions, webinars, and knowledge‑sharing forums to stay current on industry best practices and arenaflex’s evolving technology stack.

Essential Qualifications – What You Need to Succeed

  • Education: High school diploma or equivalent; additional coursework in business administration, information systems, or related fields is a plus.
  • Experience: 6 months to 1 year of professional experience in a data entry, customer service, or administrative support role, preferably within insurance, finance, or a related industry.
  • Technical Skills: Proficient with Microsoft Office Suite (especially Excel), basic familiarity with database entry tools, and the ability to quickly learn new software platforms.
  • Typing Proficiency: Minimum 40 words per minute with a high degree of accuracy.
  • Attention to Detail: Demonstrated ability to spot inconsistencies, errors, or missing information in large data sets.
  • Communication: Strong written and verbal communication skills; ability to convey complex information clearly and courteously.
  • Eligibility: Must be at least 18 years old, possess unrestricted work authorization in the United States, and be willing to undergo a background investigation.

  • Experience with claims management software (e.g., Guidewire, ClaimCenter) or similar enterprise resource planning (ERP) systems.
  • Prior remote work experience with a proven track record of self‑motivation and time‑management.
  • Certification in data entry, office administration, or customer service excellence.
  • Knowledge of insurance terminology, claim lifecycle, and regulatory compliance standards (e.g., HIPAA, state insurance codes).
  • Fluency in a second language, which can enhance communication with diverse claimants.

Core Skills & Competencies

  • Organizational Skills: Ability to juggle multiple claim files simultaneously while maintaining strict deadlines.
  • Problem‑Solving: Proactive approach to identifying missing data and devising practical solutions.
  • Team Collaboration: Comfortable working in a virtual team environment, using tools such as Slack, Microsoft Teams, and Zoom.
  • Adaptability: Flexibility to adjust to evolving processes, new software releases, and shifting priorities.
  • Ethical Judgment: Commitment to confidentiality, data security, and compliance with all applicable laws.
