At arenaflex, we believe that great events are built on the foundation of exceptional service, meticulous planning, and a culture that celebrates creativity, collaboration, and continuous learning.

Why Join arenaflex?

  • Impactful Work: Your daily interactions will directly influence the success of high‑profile events, helping exhibitors showcase their products, generate leads, and achieve measurable ROI.
  • Hybrid Flexibility: Enjoy a blended work model—two days per week in our modern Portland office and the remainder remote—designed to support work‑life balance while keeping you connected to the team.
  • Career Growth: Access a clear career ladder that can lead to senior service roles, event coordination, or even strategic account management within arenaflex’s global network.
  • Learning & Development: Benefit from continuous training, mentorship programs, and industry certifications that keep you at the forefront of event technology and customer experience trends.
  • Inclusive Culture: Join a workplace that values diverse perspectives, encourages open dialogue, and invests in employee well‑being through wellness programs, employee resource groups, and community outreach.

Key Responsibilities

As a Customer Service Representative at arenaflex, you will serve as the primary liaison between our sales & marketing teams, event organizers, and the exhibitors who rely on us for flawless event execution. Your responsibilities will include, but are not limited to:

  • Exhibitor Support: Respond promptly to logistical questions and inquiries via phone, live chat, and email, ensuring each exhibitor feels heard and valued.
  • Portal Management: Leverage on‑the‑job training to build and maintain a web‑based portal where exhibitors can access event‑specific information, upload assets, and track their participation status.
  • Communication Creation: Draft, edit, and distribute clear, engaging communications (e‑newsletters, FAQs, reminders) for assigned events, tailoring content to meet diverse audience needs.
  • Sponsorship Coordination: Assist the sponsorship team in collecting deliverables, confirming branding placements, and ensuring contractual obligations are met on time.
  • Data Management: Perform accurate data entry, maintain exhibitor databases, and generate reports that inform internal decision‑making and post‑event analysis.
  • Problem Solving: Identify and resolve issues ranging from registration glitches to on‑site logistics, employing creative solutions and escalating when necessary.
  • Cross‑Functional Collaboration: Work closely with sales, marketing, operations, and technology teams to align service delivery with overall event objectives.
  • Continuous Improvement: Provide feedback on processes, suggest enhancements to the exhibitor experience, and contribute to the development of best‑practice documentation.

Essential Qualifications

  • Minimum 1 year of customer service experience, preferably within an event‑driven or hospitality environment.
  • Demonstrated ability to manage multiple priorities, meet tight deadlines, and adapt quickly to changing circumstances.
  • Excellent oral and written communication skills, with a knack for translating complex information into clear, concise messages.
  • Strong time‑management capabilities and a proven track record of delivering results under pressure.
  • Passion for creative problem‑solving and a genuine interest in the “behind‑the‑scenes” aspects of trade shows and conferences.
  • Proficiency with standard office software (Microsoft Office, Google Workspace) and a willingness to learn event‑management platforms.

Preferred Qualifications & Nice‑to‑Have Skills

  • Experience working in multicultural or international settings, providing insight into diverse exhibitor needs.
  • Multilingual abilities—especially fluency in languages beyond English—are highly valued.
  • Familiarity with CRM systems (e.g., Salesforce, HubSpot) or event‑registration tools (e.g., Cvent, Eventbrite).
  • Background in marketing, communications, or hospitality management.
  • Certification in customer service excellence or event planning (e.g., CMP, CSEP).

Core Skills & Competencies

  • Empathy & Active Listening: Ability to understand exhibitor concerns and respond with genuine care.
  • Attention to Detail: Precision in data entry, document preparation, and communication drafting.
  • Tech Savvy: Comfort navigating web portals, live‑chat tools, and emerging event‑tech solutions.
  • Collaboration: Strong team player who thrives in cross‑functional environments and contributes positively to group dynamics.
  • Organizational Agility: Skill in juggling competing tasks while maintaining high service standards.
  • Creative Thinking: Ability to propose innovative solutions that enhance exhibitor satisfaction and operational efficiency.

Career Path & Development Opportunities

arenaflex invests heavily in employee growth. Starting as a Customer Service Representative, you can progress to:

  • Senior Service Specialist: Lead a team of representatives, mentor new hires, and oversee service quality for multiple events.
  • Event Coordinator: Transition into event planning, managing logistics, vendor relationships, and on‑site execution.
  • Account Manager: Own relationships with key exhibitors, driving revenue and strategic partnership development.
  • Operations Manager: Oversee broader operational functions, influencing process improvements across the organization.

Each step is supported by formal training programs, tuition reimbursement for relevant certifications, and regular performance reviews that align personal goals with arenaflex’s strategic vision.

Compensation, Perks & Benefits

While specific salary ranges are tailored to experience and location, arenaflex offers a competitive compensation package that includes:

  • Base salary aligned with industry benchmarks for customer service roles.
