Position Overview

arenaflex is currently hiring a dedicated and meticulous Remote Data Entry and Contract Administration Specialist to join our operations team on a full-time basis. This is a 100% remote position, giving you the freedom to work from the comfort of your home while contributing to a fast-paced and supportive business environment.

In this role, you will be responsible for processing approved customer quotes, setting up new contracts, verifying tax information, and ensuring that all data is entered accurately and in compliance with company standard operating procedures. You will collaborate closely with our sales team, leverage industry-specific software platforms, and play a critical part in maintaining the integrity of our customer and contract database.

Key Responsibilities

As a Remote Data Entry and Contract Administration Specialist at arenaflex, your day-to-day duties will include, but are not limited to, the following:

  • Review approved customer quotes for accuracy, exercising sound judgment and discretion in assessing their validity and completeness.
  • Set up new customer contracts in the Service Trade platform based on approved quotes, ensuring all information is captured correctly.
  • Assign appropriate service lines to contracts as required, ensuring alignment with the customer’s specific service needs.
  • Review repair quotes carefully and ensure that jobs are assigned to the appropriate corresponding job records.
  • Verify customer tax status and contract details, ensuring full compliance with applicable tax regulations and company policies.
  • Assign applicable customer assets to jobs as needed, maintaining accurate and up-to-date records.
  • Assign customer labor contracts to jobs, adhering strictly to appropriate labor allocation agreements and guidelines.
  • Collaborate proactively with the sales team to request any required documentation needed to complete contract setup and job processing.
  • Adhere to all standard operating procedures (SOPs) to ensure that all data entry is consistent, accurate, and compliant with approved standard practices.
  • Perform other duties as assigned by management, contributing to the overall efficiency and success of the operations team.

Essential Qualifications

To be considered for this role, candidates must meet the following minimum requirements:

  • A High School Diploma or GED is required.
  • A minimum of 3 to 5 years of professional office experience, with demonstrated skills in data entry and customer service.
  • Proficient knowledge of accounting processes, including basic invoicing, contract management, and financial recordkeeping.
  • Strong proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
  • Excellent written and spoken English language skills, with the ability to communicate in a professional and clear manner.
  • Strong verbal and written communication skills, paired with solid interpersonal abilities.
  • Proven ability to multi-task, prioritize competing demands, and manage time effectively in a remote work environment.
  • Strong organizational skills with the ability to manage multiple projects and competing priorities simultaneously.
  • Strong documentation and data entry skills with a high degree of accuracy.

Preferred Qualifications

While not required, the following qualifications will give candidates a competitive edge:

  • An associate degree in business, supply chain management, or a closely related field is highly desirable.
  • A bachelor’s degree or equivalent professional experience in a related discipline is a plus.
  • Prior experience with JD Edwards Enterprise One and Service Trade software platforms is strongly preferred.
  • Background experience in the service-related industry is desired and will be considered an asset.
  • Ability to define problems, collect relevant data, establish facts, and draw valid conclusions to support decision-making.
