Position Overview
arenaflex is seeking dedicated, compassionate, and skilled Remote Customer Service Representatives to join our 24/7 inbound call center operation. As the face and voice of arenaflex, you will directly shape the healthcare service experience for our members through phone, web, and written correspondence interactions. Member inquiries range from straightforward benefit questions to complex, sensitive issues requiring careful navigation, empathy, and problem-solving expertise.
In this role, you will engage, consult, and educate individuals based on each member's unique needs, preferences, and understanding of arenaflex plans, tools, and resources. You will guide members along the path to better care by connecting them with the right information, the right resources, and the right people at the right time. This is not a typical customer service job — it is a meaningful career where every conversation matters.
Schedule and Work Requirements
This is a full-time, remote position based in California, USA. Our customer support center operates 24 hours a day, 7 days a week, 365 days a year — including weekends and holidays. Candidates must have the flexibility to work any shift based on business needs, including overnight shifts, weekend rotations, and holiday coverage. Standard work hours are 8 hours per shift with structured breaks. While remote, you will be expected to maintain a professional, distraction-free home office environment with reliable high-speed internet connectivity.
Key Responsibilities
- Member Inquiries and Issue Resolution: Respond to questions and resolve issues received via calls, emails, and letters from members, providers, and plan sponsors. Document and track all contacts thoroughly in our system to ensure continuity of care and service.
- Escalation Management: Identify emergency situations and route them to appropriate clinical or management staff quickly and accurately, following established protocols.
- Benefits Navigation: Guide members through their plan of benefits, arenaflex policies, and procedures while maintaining awareness of regulatory compliance guidelines. Help members understand their coverage, limitations, and available resources.
- Empathetic Engagement: Build genuine emotional connections with members by understanding their unique needs and advocating for their best health outcomes. Take ownership of understanding each member's situation through trust-building and compassionate communication.
- Proactive Service: Anticipate member needs and provide relevant information beyond the original question — including additional plan details, member self-service tools, and wellness resources.
- Financial Decision-Making: Utilize customer service frameworks to make appropriate financial decisions that resolve member issues within established authority limits.
- Contract Interpretation: Clearly explain member limitations and coverage details in accordance with their specific contract terms.
- Claims and Documentation Processing: Process claim referrals, new case handoffs, nurse reviews, complaints, grievances, and appeals through objective system workflows.
- Provider Support: Educate healthcare providers on self-service options and assist with credentialing and re-credentialing matters.
- Regulatory Compliance: Respond to requests from arenaflex's Regulation Record Center regarding litigation, claims, and extensive document review requirements. Assist with preparation of grievance trend reports and compilation of claims data for client audits.
- Clinical Coordination: Determine medical needs, review relevant coverage policies, and verify member plan eligibility for incoming correspondence and internal referrals.
- Pre-Authorization Processing: Handle incoming requests for inquiries and pre-approvals not managed by Clinical Case Management.
- Benefits Tracking: Review member claims history to ensure accurate tracking of benefit maximums, coinsurance, and deductibles.
- Financial Data Maintenance: Perform financial data entry and maintenance tasks as required.
- Quality Documentation: Use relevant system tools and resources to generate quality letters and spreadsheets in response to inquiries.
Required Qualifications
- Education: Bachelor's degree required.
- Customer Service Experience: Previous customer service experience in a transaction-based environment such as a call center or retail setting is preferred, demonstrating the ability to remain empathetic and compassionate under pressure. Experience in a production-driven environment is highly valued.
- Multitasking Ability: Demonstrated capacity to manage multiple tasks efficiently while maintaining accuracy and quality standards.
- Medical Terminology: Working understanding of medical terminology to effectively communicate with members and providers.
- Communication Skills: Strong oral and written communication skills with the ability to explain complex information clearly and concisely.
- Technical Proficiency: Proficient with Microsoft Word, Outlook, and other standard office software. Comfort with learning new systems and digital tools.
- Accuracy and Production Standards: Ability to maintain high levels of accuracy while meeting production expectations.
- Negotiation Skills: Effective negotiation and de-escalation abilities.
- Problem-Solving: Strong analytical and problem-solving skills with attention to detail and precision.
- Empathy and Compassion: A genuine desire to help others and the emotional intelligence to navigate sensitive situations with care.
Preferred Qualifications
- Prior experience in healthcare, insurance, or a related field
- Bilingual capabilities (Spanish preferred)
- Familiarity with CRM systems and healthcare management platforms
- Experience working remotely with distributed teams
- Knowledge of HIPAA regulations and healthcare compliance
Compensation and Benefits
arenaflex offers a competitive hourly wage of $30–$41 per hour, with the actual offer based on experience, education, geography, and other relevant factors. This pay range represents the base hourly rate for all positions within this job grade.
