As a Customer Service & Accounts Receivable Specialist at arenaflex, you will be the primary liaison between our customers and the finance and service teams. Key Responsibilities

Customer Interaction & Relationship Building

  • Answer inbound inquiries via phone, email, and chat with a courteous, solution‑focused approach.
  • Proactively assess each customer’s needs, offering relevant product information, service options, and troubleshooting guidance.

Accounts Receivable & Billing Management

  • Process daily batches of customer invoices, payments, and adjustments with precision.
  • Reconcile accounts receivable, ensuring all transactions are accurately recorded in the ERP system.
  • Collect on past‑due balances, negotiate payment arrangements, and keep the AR ledger up to date.
  • Research and resolve billing disputes, keeping customers informed throughout the resolution process.

Documentation & Compliance

  • Enter and maintain delivery, tank installation, and technical service work orders.
  • Ensure every new customer’s mandatory paperwork—safety documentation, credit applications, lease agreements, and propane tank contracts—is completed and filed in the digital filing system.
  • Maintain DOT (Department of Transportation) truck and employee records, schedule required drug screens, physicals, and other driver testing with local facilities.
  • Perform monthly checks of serial‑numbered equipment, including tanks and remote sensors, to verify compliance and accuracy.

Service Coordination & Inventory Support

  • Assist the Service Manager by communicating ticket status updates, service changes, and estimated completion times to customers.
  • Help maintain an accurate inventory of propane tanks, spare parts, and service‑related items, updating counts as items are received, dispatched, or returned.
  • Enter service ticket data promptly, ensuring that all field activities are reflected in the central system.

Team Collaboration & Seasonal Projects

  • Partner with fellow accounts receivable representatives to ensure all seasonal work—such as year‑end reconciliations and inventory audits—is completed on schedule.
  • During slower periods, contribute to cross‑functional projects that prepare arenaflex for peak seasons, including process improvements, training material updates, and data migration tasks.

Essential Qualifications

  • Minimum age of 21 years.
  • High school diploma or equivalent; additional coursework in accounting, finance, or business administration is a plus.
  • 1–3 years of experience in accounts receivable, billing, or related accounting functions.
  • 1–3 years of customer service experience in a fast‑paced environment.
  • Intermediate proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with ERP or accounting software.
  • Demonstrated ability to multitask between customer interaction and clerical duties without sacrificing accuracy.
  • Strong organizational skills, with a focus on maintaining a clean, orderly workspace and digital filing system.
  • Ability to pass background and character reference checks; must provide at least three non‑family job‑related references.

Preferred Qualifications

  • Associate’s or bachelor’s degree in Business, Accounting, or a related field.
  • Experience with propane or energy‑service industries, including knowledge of safety regulations and DOT compliance.
  • Proficiency in using CRM platforms and advanced Excel functions (pivot tables, VLOOKUP, macros).
  • Previous exposure to inventory management or parts logistics.
  • Certification in customer service excellence (e.g., HDI, ICMI) or accounting (e.g., CPA‑eligible coursework).
