Position Overview

The Data Entry Specialist at arenaflex will play a critical role in supporting our Customer Service Learning & Development (L&D) operations. Working closely with cross-functional teams, you will be responsible for managing, organizing, and maintaining data related to training programs, learning content, vendor performance, and operational metrics. Your contributions will directly impact the quality of training delivered to outsourced call center partners and the overall effectiveness of our customer service operations. This role reports to the L&D leadership team and offers the chance to grow within a globally recognized organization that values precision, collaboration, and continuous improvement.

Key Responsibilities

Program and Data Management

  • Accurately input, update, and maintain large volumes of data within Learning Management Systems (LMS), project tracking tools, and internal databases.
  • Define, document, and preserve the scope of regional L&D projects, ensuring all data records are current, consistent, and aligned with organizational standards.
  • Create, monitor, and maintain detailed project plans, timelines, and deliverable trackers to support successful training rollouts and launches.
  • Develop trusting partnerships with outsourced call center partners, serving as a reliable point of contact for trainers and ensuring seamless data flow and communication.

Learning Content Support and Curation

  • Assist in performing gap analyses to identify performance and training opportunities, documenting findings with precision and clarity.
  • Research, organize, and curate content to support the development of regionally and globally valid training curriculum.
  • Collaborate with subject matter experts (SMEs), instructional designers, and cross-functional stakeholders to ensure training materials are accurate, consistent, and impactful.
  • Support the development of facilitator guides, learner materials, presentation media, job aids, and knowledge checks through meticulous data entry and version control.

Facilitation Coordination and Support

  • Coordinate logistics for face-to-face and virtual learning sessions, including scheduling, registration, attendance tracking, and feedback collection.
  • Support train-the-trainer programs by managing participant data, tracking certification progress, and maintaining training records.
  • Assist in piloting newly designed curriculum by capturing feedback data, organizing results, and generating reports for stakeholder review.

Vendor Management and Relationship Building

  • Partner with training and operational teams at outsourced call center providers to track and report on performance metrics.
  • Contribute to the overall success of the CS business by guiding vendor teams with data-driven insights, structured support, and clear documentation.
  • Build and maintain L&D governance frameworks, including data analysis reports, vendor support team structures, intake frameworks, and evaluation frameworks.

Stakeholder Collaboration and Reporting

  • Foster strong partnerships with regional and global CS colleagues at arenaflex, serving as an effective liaison for the L&D team.
  • Generate regular and ad-hoc reports, dashboards, and presentations that communicate learning opportunities, priorities, and measurable impact.
  • Collaborate with business leaders to transform operational opportunities into actionable L&D initiatives backed by solid data.

Essential Qualifications

  • A minimum of three (3) years of experience in data entry, program coordination, or a related role, preferably within a learning & development, customer service, or call center environment.
  • Proven experience designing or supporting soft skills and technical training solutions for diverse audiences, including call center agents, senior agents, emerging leaders, and senior leaders.
  • Demonstrated ability to manage multiple projects simultaneously with a high level of organization and attention to detail.
  • Strong communication skills, both written and verbal, with the ability to collaborate effectively across teams and time zones.
  • Experience working in a fast-paced, results-oriented, data-driven environment where independence and self-management are essential.
  • Proficiency with Learning Management Systems (LMS), Microsoft Office Suite, Google Workspace, and various data management tools.
  • A Bachelor’s degree in business administration, communications, education, or a related field. A Master’s degree is a plus.

Preferred Qualifications

  • Experience creating and managing digital learning content using e-learning authoring tools such as Articulate, Captivate, or similar platforms.
  • Fluency in Portuguese and English; Spanish language skills are a strong plus.
  • Experience working in a cross-cultural, global environment with remote teams and international stakeholders.
  • Background in content or knowledge management, particularly within service, retail, or call center industries.
  • Familiarity with creative facilitation tools and emerging technologies in the learning and development space.
  • Strong analytical skills with the ability to interpret data, identify trends, and present actionable recommendations.
