Payroll Specialist (Hybrid Remote Schedule)
Clark Pest Control is a company dedicated to providing pest-free solutions across California and northwestern Nevada since 1950. They are seeking a Payroll Specialist I to support their teams in payroll processing, employee pay administration, and compliance within the pest control industry.
Responsibilities
- Process semi‑monthly payroll for assigned branches or employee groups in accordance with established procedures and deadlines
- Audit timekeeping records and payroll inputs for accuracy, completeness, and required approvals using Time & Attendance, Payroll, and ticketing systems
- Import and export payroll data between business management systems and HRM/payroll systems
- Reconcile payroll data and identify discrepancies prior to pay issuance, escalating non‑routine issues as needed
- Process employee advances, paybacks, and standard payroll adjustments
- Update and maintain employee payroll records across all systems, including address changes, tax elections, pay rates, and deductions
- Process manual checks for terminations, PTO buybacks, and other miscellaneous pay items
- Ensure final pay calculations follow established wage and hour guidelines and internal policies
- Review and process timekeeping data to ensure compliance with company policies
- Process employee time‑off requests including PTO, bereavement, jury duty, and other leave types
- Partner with managers and employees to resolve routine timekeeping or leave discrepancies
- Generate prevailing wage timesheets for designated projects using established procedures
- Process prevailing wage payroll accurately and timely under guidance
- Maintain required prevailing wage documentation and records
- Apply wage garnishments and deductions in accordance with instructions and applicable regulations
- Follow established compliance procedures related to payroll transactions
- Maintain accurate records supporting payroll compliance and audits
- Respond to employee payroll inquiries related to pay statements, direct deposit, W‑2s, W‑4s, and payroll timing
- Provide accurate, professional, and timely customer service while maintaining confidentiality
- Escalate complex or sensitive payroll issues appropriately
- Run standard payroll and HRM system reports as requested
- Maintain documentation in accordance with payroll SOPs
- Participate in payroll process improvements, system testing, and other related duties as assigned
Skills
- High School Diploma or equivalent
- Excellent customer service skills and able to use good judgment in decision making
- Excellent interpersonal skills such as conflict resolution and active listening skills
- Excellent communication skills and the ability to speak clearly and efficiently in English, draft accurate and professional written communications, and check for spelling and grammatical errors
- Strong organizational and leadership skills
- Working knowledge of payroll principles and standard payroll practices
- Basic understanding of wage and hour laws, payroll taxes, and garnishments
- Understanding of employee tax withholding forms and payroll deductions
- Proven ability to manage multiple tasks and projects simultaneously
- Coachability, confident humility, and the eagerness to grow in one's area of expertise
- Ability to build effective relationships, trust, and credibility at all levels of the organization
- Ability to handle multiple inputs, projects and demands concurrently with quality and timely delivery
- An openness to pivot as business priorities evolve, committing to a plan while remaining flexible and open to change as needed
- At least 1 to 2 years of payroll or related administrative experience preferred
