Position Overview

As the Energy Services Data Entry Specialist, you will play a critical role in maintaining organized, accurate, and up-to-date digital records that keep our Energy Services Programs running efficiently. Working remotely, you will serve as the central point for inputting client status updates, monitoring incoming communications, and ensuring that all program documentation is properly captured and stored within our required database systems.

Your contributions will directly impact our ability to serve clients promptly and compassionately. By maintaining clean, compliant records and supporting program staff with administrative excellence, you will help arenaflex deliver energy assistance services to the families who depend on us most.

Key Responsibilities

The following duties represent the core expectations of this role. Additional related tasks may be assigned as program needs evolve.

  • Client Status Management: Accurately input and maintain updated client status records within the Statewide Client Service Center, ensuring the system reflects the most current production pipeline at all times.
  • Email and Communication Monitoring: Regularly monitor incoming emails, log documents, and record communications in the Monday.com platform upon receipt to maintain a complete and accessible communication trail.
  • Database Compliance: Follow all program guidelines for the proper use of required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and other applicable platforms.
  • File Organization: Maintain well-organized digital and paper participant files in strict accordance with program guidelines, ensuring full compliance with agency and funder requirements.
  • Cross-Team Collaboration: Work closely with program staff to support, enhance, and promote clear communication and consistency in the delivery of energy services to clients.
  • General Clerical Support: Assist with various clerical duties as needed, including filing, preparing mailings, and providing professional phone coverage for the department.
  • Remote Work Readiness: Maintain consistent availability for remote work, including attending virtual meetings, joining scheduled calls, responding to emails in a timely manner, and conducting all regular duties without interruption.
  • Meeting and Training Participation: Attend all required staff meetings, supervision sessions, training opportunities, and contractual meetings as scheduled.
  • Professional Development: Participate in mandatory agency training and other relevant professional development activities designed to enhance your skills and program knowledge.
  • Confidentiality Maintenance: Ensure strict confidentiality is upheld in every aspect of the role, particularly when handling sensitive client information.
  • Additional Duties: Perform related work as required to support the overall success of the Energy Services Programs and the arenaflex mission.

Essential Qualifications and Skills

To succeed in this role, candidates should bring a combination of educational background, relevant experience, and personal attributes that align with our values and operational needs.

  • Educational Background: An Associate degree is required, or an equivalent combination of professional experience that demonstrates comparable competency.
  • Human Services Experience: A minimum of two years of experience in Human Services or a closely related field is preferred. Alternatively, applicable work experience working with diverse individuals and families with low incomes will be strongly considered.
  • Flexible Substitution: Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education, allowing candidates with non-traditional paths to qualify.
  • Language Skills: Bilingual proficiency in Spanish is preferred, given the diverse client population served by our Energy Services Programs.
  • Technical Proficiency: Comfort working with multiple database systems, email platforms, and digital filing structures. The ability to learn new software quickly is essential.
  • Attention to Detail: A meticulous eye for accuracy, with the ability to spot inconsistencies and correct errors before they affect program outcomes.
  • Time Management: Strong organizational skills and the ability to manage multiple tasks and deadlines simultaneously in a remote work environment.
  • Communication Skills: Clear, professional written and verbal communication skills, with the ability to interact respectfully with colleagues, clients, and external partners.
