About arenaflex – Pioneering Precision in Healthcare Staffing Solutions

arenaflex is a leading consortium of staffing and recruiting firms that have joined forces to create a unified, cloud‑based talent management platform. By leveraging a centralized arenaflex CRM (formerly known as Salesforce/TargetRecruit), arenaflex empowers its member firms to source, track, and place top‑tier healthcare professionals with unmatched speed and accuracy. Our mission is to transform the way healthcare talent is discovered and deployed, ensuring that hospitals, clinics, and specialty practices receive the right clinicians at the right time. As a remote‑first organization, arenaflex values flexibility, autonomy, and a culture of continuous improvement.

Why This Role Matters – The Heartbeat of Data Integrity

In the fast‑moving world of healthcare recruitment, clean and reliable data is the lifeblood of every successful placement. The Healthcare Data Entry Specialist you will become is the guardian of that data, ensuring that every candidate profile, credential, and specialty tag is entered with surgical precision. Your work directly influences the quality of matches, the speed of hiring cycles, and ultimately, the quality of patient care delivered by the professionals you help place.

Role Overview – Remote, Full‑Time Contractor (1099)

This is a 100 % remote, full‑time contractor position (1099) that offers the freedom to work from anywhere while collaborating closely with arenaflex’s internal operations team. You will be responsible for ingesting, validating, and maintaining candidate information within the arenaflex CRM platform. The ideal candidate is tech‑savvy, detail‑oriented, and comfortable navigating multiple data sources to produce a single source of truth for healthcare talent.

Key Responsibilities

  • Enter, update, and enrich candidate records in the arenaflex CRM, ensuring every field is populated accurately.
  • Extract data from a variety of active sources—including provider directories, licensing databases, and internal spreadsheets—and verify its authenticity, with a special focus on National Provider Identifier (NPI) numbers.
  • Apply standardized formatting, labeling, and taxonomy rules to maintain consistency across the entire database.
  • Conduct routine quality‑control audits to flag discrepancies, duplicate entries, or incomplete records.
  • Collaborate with the arenaflex recruiting and compliance teams to clarify ambiguous data points and resolve inconsistencies.
  • Maintain a disciplined schedule, meeting daily and weekly data‑entry targets while adhering to established deadlines.
  • Document data‑entry processes and contribute to the continuous improvement of data‑governance protocols.
  • Securely handle sensitive personal and professional information, complying with HIPAA and other relevant privacy regulations.

  • Hands‑on familiarity with arenaflex CRM (formerly Salesforce) or comparable cloud‑based CRM platforms.
  • Exceptional attention to detail; ability to spot inconsistencies, typographical errors, and formatting issues instantly.
  • Strong organizational skills and the capacity to work independently without direct supervision.
  • Fast and accurate typing proficiency (minimum 60 WPM) with a high degree of computer literacy.
  • Reliable high‑speed internet connection and a dedicated workstation that meets arenaflex’s security standards.
  • Demonstrated ability to interpret and differentiate between broad medical specialties and nuanced sub‑specialties (e.g., Pediatrics vs. Pediatric Neurology).

Preferred Qualifications & Desirable Experience

  • Previous experience working within the healthcare sector, particularly with provider credentialing or medical staffing.
  • Familiarity with NPI registry lookup tools, state licensing boards, and other verification resources.
  • Experience using data‑validation scripts, macros, or automation tools (e.g., Excel VBA, Python, or RPA platforms).
  • Background in health‑information management, medical coding, or health‑IT.
  • Exposure to remote collaboration tools such as Slack, Microsoft Teams, and project‑management software (Asana, Trello, Monday.com).
  • Certification in data governance, information security, or a related field (e.g., CDMP, CISSP).

Core Skills & Competencies

  • Communication: Clear written communication for documenting issues and providing status updates to internal stakeholders.
  • Problem‑Solving: Proactive identification of data gaps and suggestion of practical remediation steps.
  • Time Management: Efficiently prioritize tasks to meet tight turnaround times while maintaining quality.
