Job Overview
We are seeking a meticulous and motivated Remote Data Entry Specialist to join our growing Quality Control (QC) team. In this role, you will be the guardian of data integrity, ensuring that every legal document entered into our systems is accurate, complete, and ready for seamless distribution to our nationwide network of process servers. This full‑time, remote position is based in Puerto Rico, offering a supportive environment where you can develop your skills, contribute to meaningful projects, and enjoy a balanced work‑life rhythm.
Key Responsibilities
- Accurately review, digitize, and file legal documents—including summonses, subpoenas, motions, and affidavits—using arenaflex’s proprietary document management platform and standard email workflows.
- Perform rigorous quality checks to verify that data entry aligns with client specifications, statutory requirements, and internal compliance standards.
- Identify, investigate, and resolve discrepancies or missing information, escalating complex issues to senior QC analysts or the operations manager as needed.
- Collaborate with the process‑server coordination team to confirm that documents are correctly matched with the appropriate service routes and timelines.
- Participate in ongoing training sessions, webinars, and knowledge‑share forums to stay current on legal filing regulations, industry best practices, and arenaflex’s evolving technology stack.
- Contribute to continuous‑improvement initiatives by providing feedback on workflow bottlenecks, suggesting automation opportunities, and documenting best‑practice procedures.
- Assist with ad‑hoc projects, such as data migration, system testing, and the creation of training materials for new hires.
- Maintain meticulous records of work completed, time spent, and any issues encountered, ensuring traceability for audit purposes.
Essential Qualifications
- High school diploma or GED required; additional education or certifications in legal studies, business administration, or related fields are a plus.
- Demonstrated ability to perform repetitive tasks with a high degree of accuracy and consistency.
- Exceptional attention to detail, with a proven track record of catching errors that others might overlook.
- Strong written communication skills and the ability to follow detailed instructions precisely.
- Basic proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort navigating web‑based applications.
- Typing speed of 60–70+ words per minute with a low error rate.
- Self‑motivated, reliable, and capable of thriving in a remote work environment with minimal supervision.
- Team‑oriented mindset, eager to collaborate, share knowledge, and support colleagues across multiple time zones.
Preferred Qualifications & Additional Skills
- Prior experience in data entry, document management, or legal support roles, though not mandatory.
- Familiarity with legal terminology, court filing procedures, or process‑server operations.
- Experience using cloud‑based document storage platforms (e.g., SharePoint, Google Drive) and basic knowledge of data security best practices.
- Ability to quickly learn and adapt to new software tools, including arenaflex’s proprietary QC dashboard.
- Problem‑solving aptitude: ability to diagnose root causes of data inconsistencies and propose practical solutions.
- Strong organizational skills, with the capacity to manage multiple document queues simultaneously while meeting strict deadlines.
Core Competencies for Success
- Accuracy & Precision: A relentless focus on delivering error‑free work.
- Time Management: Efficiently prioritize tasks to meet daily and weekly volume targets.
- Communication: Clear, concise, and professional interaction with internal teams and external partners.
- Adaptability: Comfort with evolving processes, technology upgrades, and shifting regulatory requirements.
