As a Customer Service Representative in the arenaflex Housing Customer Service Center, you will be the first friendly voice and trusted point of contact for students, parents, faculty, staff, and external guests. Key Responsibilities
Front‑Line Guest Interaction
- Answer inbound calls, emails, and chat inquiries with a courteous, solution‑focused approach.
- Provide accurate information on housing policies, amenities, contracts, and procedures.
- Guide students, parents, and staff through the application, renewal, and move‑in processes.
- Resolve concerns promptly, offering options and follow‑up until full satisfaction is achieved.
Problem Solving & Issue Management
- Identify, prioritize, and track service requests, maintenance issues, and contractual questions.
- Conduct research using arenaflex’s information systems to propose viable solutions.
- Coordinate with internal departments—Financial Aid, Admissions, Student Conduct, and Facilities—to gather necessary data and close out tickets.
- Maintain detailed logs of each interaction, ensuring transparency and accountability.
Administrative & Operational Support
- Enter and update data in arenaflex’s housing management platforms, generating routine reports for leadership.
- Process applications, releases, cancellations, fee adjustments, and contract modifications while adhering to quality standards.
- Prepare and distribute memos, letters, and statistical reports in line with university policies.
- Manage mail and package services (UPS, FedEx, USPS), handle key deposits, and balance a cash drawer on a daily basis.
Team Collaboration & Leadership
- Represent the Housing department at internal committees such as the Customer Service Planning Group.
- Assist in training, scheduling, and supervising student workers, ensuring workloads are balanced and deadlines met.
- Participate in emergency protocols, notifying appropriate personnel and documenting safety incidents.
- Support special events, promotions, and equipment rentals, providing logistical assistance as needed.
Essential Qualifications
- Education: High School Diploma or equivalent; a combination of education and experience may substitute for the minimum requirement.
- Experience: At least 1 year of customer‑service experience, preferably in a higher‑education or residential‑services setting.
- Core Skills: Strong verbal and written communication, active listening, problem‑solving, and conflict‑resolution abilities.
- Technical Proficiency: Comfortable navigating multiple software platforms, databases, and CRM tools.
- Licensure: Valid California driver’s license; participation in the DMV Pull Notice System is required.
