Job Title: Project Accounting Coordinator

Job Description

We are seeking a Project Accounting Coordinator to support project managers throughout the entire lifecycle of civil engineering projects, with a particular emphasis on complex New York City public sector work. The role involves preparing fee proposals, drafting contracts and subcontracts, and ensuring projects adhere to contract terms, compliance standards, and regulatory requirements typical of municipal and agency-driven projects.

Responsibilities

Develop Work Breakdown Structures (WBS), project authorizations, and budgets while aligning with client invoicing requirements and public sector billing guidelines. Support subconsultant invoice processing and monitor project financials, including budgets, revenue, variance, and work-in-progress, adhering to public sector reporting and documentation standards. Assist project managers with pre-bill reviews, resolve revenue variances, and support revenue recovery efforts within public funding constraints. Act as a liaison between internal teams, clients, subconsultants, and public agencies to ensure clear and compliant communication across stakeholders. Participate in monthly project reviews and partner with Business Operations to analyze performance and identify opportunities to improve financial outcomes. Prepare and review change orders, contracts, and template proposals. Create pivot tables and Vlookups in Excel for data analysis. Essential Skills 3+ years of experience supporting complex NYC public sector projects. 3+ years of experience drafting contracts and subcontracts. 3+ years of experience preparing proposal templates. 3+ years of experience with change orders. Experience working for an engineering or architectural firm with revenue over $150 million. Proficiency in creating pivot tables and Vlookups in Excel. Proficiency in using Deltek, BST, or Oracle. Additional Skills & Qualifications Experience with Deltek Vantagepoint is preferred. Experience with ERP implementation, preferably Vantagepoint.

This is a fully remote position. Candidates must not be located on the West Coast. Job Type & LocationThis is a Contract to Hire position based out of Camp Hill, PA. Pay and BenefitsThe pay range for this position is $32.00 - $37.00/hr.
