Key Responsibilities

As a Virtual Assistant and Data Entry Specialist, you will play a vital role in supporting our Freight Dispatching and Truck Driver Recruiting teams. Your key responsibilities will include:

• Assisting dispatchers with load booking, tracking, and check calls to ensure our drivers are moving efficiently and effectively.
• Supporting recruiters by screening truck driver candidates, verifying documents, and scheduling follow-ups to ensure a smooth recruitment process.
• Processing applications using platforms like Breezy and Tenstreet for seamless recruitment workflows.
• Communicating professionally with drivers, brokers, and team members via phone, text, and email to provide exceptional customer service.
• Maintaining accurate records, updating spreadsheets, and managing compliance files in our CRM systems to ensure data integrity and compliance.
• Providing general administrative support to ensure smooth operations and exceptional customer service.

Preferred Platforms and Tools

To excel in this role, you will need to be proficient in a range of platforms and tools, including:

• Load boards (DAT, Truckstop, etc.) for sourcing freight.
• Tenstreet and driver onboarding tools for recruitment processes.
• CRM systems (HubSpot, Zoho, etc.) for managing leads and data.
• Google Workspace (Docs, Sheets, Drive) for documentation and collaboration.
• Communication tools (Slack, Zoom, Google Voice, WhatsApp) for team and driver interactions.
• Microsoft Excel or similar spreadsheet software for data tracking.
• Ring Central, Dial Pad, etc.

Qualifications

To be successful in this role, you will need to possess the following qualifications:

• Previous experience in dispatching or driver recruiting is preferred but not required.
• Strong written and verbal English communication skills.
• Self-motivated with the ability to work independently in a remote setting.
• Reliable high-speed internet and a quiet, distraction-free work environment.
