Key Responsibilities

As a Business Administrator on our Information Security and Protection team, you will be responsible for providing comprehensive administrative and staffing support to the team. Your key responsibilities will include:

  • Providing administrative and staffing support to the team, including office space management, resource allocation, procurement, headcount management, onboarding, and event coordination.
  • Overseeing procurement of equipment, office supplies, reference materials, and other office necessities.
  • Assisting in planning and managing both small and large-scale meetings, events, and travel logistics.
  • Handling cost reporting in compliance with arenaflex's policies.
  • Supporting team-building activities, employee appreciation events, and offsite gatherings.
  • Maintaining confidential employee information and group data with integrity.
  • Supporting new hires with office setups, equipment, and onboarding processes.
  • Coordinating with the business operations community for various organizational activities and events.
  • Taking initiative in handling multiple tasks and projects simultaneously in a global, cross-functional environment.

Qualifications

To be successful in this role, you will need to possess the following qualifications:

  • Minimum of 2 years of managerial, business support, or customer service experience, preferably in an environment focused on meeting planning, event management, and travel coordination.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and data entry tasks.
  • Strong communication, organizational, and interpersonal skills.
  • Ability to prioritize tasks, manage time effectively, and handle multiple responsibilities in a fast-paced environment.
  • Proactive, detail-oriented, and able to make decisions within the scope of responsibility.
  • Bachelor's degree in Business Administration, Human Resources, Marketing, Communications, Psychology, or related field.

Preferred Qualifications

While not required, the following qualifications would be an asset in this role:

  • Experience with administrative support in a global team setting.
  • Experience with event planning, travel management, and employee onboarding.
