Key Responsibilities

As an Experienced Customer Service Representative at arenaflex, you'll be responsible for:

  • Customer Relationship Management: Build and maintain positive relationships with patients and providers, exceeding customer service expectations through proactive communication, empathy, and a service-oriented approach.
  • Communication and Support: Efficiently manage a high volume of inbound and outbound communications, including calls, emails, and live chat, to confirm orders, schedule deliveries, and address concerns or questions from patients and providers.
  • Order Management and Workflow Efficiency: Oversee the order workflow from initiation to completion, maintaining high productivity levels and ensuring all patient requests are handled efficiently, with real-time transcription of detailed notes, timely follow-ups, and triage of escalated calls as needed.
  • Performance Metrics and Quality Assurance: Achieve defined daily qualitative and quantitative targets, including specific numbers of outbound calls, inbound calls, emails/chat requests handled, and order transactions completed, while maintaining an exceptional patient-satisfaction rating and adhering to service, productivity, and quality objectives.
  • Team Collaboration and EOS Alignment: Work closely within the team and with other departments, adhering to the Entrepreneurial Operating System (EOS) principles, including clear communication, understanding and meeting clear expectations, participating in effective meetings, and contributing to the team's success through accountability and a focus on continuous improvement.

Essential Qualifications

To succeed in this role, you'll need:

  • Customer Service Experience: A minimum of 1-2 years of experience in customer-facing roles, preferably in the healthcare or pharmaceutical industry.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to effectively communicate with patients, providers, and internal teams.
  • Technical Skills: Proficiency in CRM software, email management, and live chat platforms, with the ability to learn and adapt to new systems and tools.
  • Time Management: Strong time management skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Teamwork: A collaborative mindset, with the ability to work effectively within a team and contribute to the team's success.

Preferred Qualifications

* Compounding/Specialty Pharmacy Experience: Experience working with a compounding/specialty pharmacy or medical center, with knowledge of compounded medications and their applications.

  • Certifications: Relevant certifications, such as Certified Customer Service Representative (CCSR) or Certified Medical Assistant (CMA), are a plus.
