About the Role
We're hiring a Marketing and Events Coordinator to lead the planning, execution, and follow-through on our live events — and to keep our marketing, app content, and client communications running on time and on brand in between. This is a high-impact, high-trust seat. The Lab is our primary client acquisition engine for Wealth Academy and Elite Academy, which means the experience you build directly drives conversion and revenue. You'll partner closely with our VP of Operations, our CMO, and our coaching team to deliver events that feel seamless to attendees and produce measurable results for the business. What You'll Do
Event Planning & Execution
- Lead the full event lifecycle for The Lab and other live and virtual events — from initial planning through on-site execution to post-event debrief
- Manage venue selection, vendor relationships, contracts, and timelines (AV, catering, decor, hotels, merchandise)
- Build and maintain event run-of-show, packing lists, signage, workbooks, and on-site materials
- Serve as a point person on event days, coordinating speakers, troubleshooting issues, and keeping the experience on track
- Track attendee sign-ups, dietary needs, rooming lists, and ticket sales; report cleanly to leadership
Attendee & Client Communication
- Own the accuracy and timing of all attendee communications before, during, and after events
- Draft and send registration emails, drip sequences, hotel reminders, and day-of logistics in coordination with the Client Experience team
- Keep the tone warm, on-brand, and consistent across every touchpoint
Marketing Execution
- Own completion and accuracy of marketing and client checklists — webinars, partner calls, podcasts, social, app content — ensuring consistent delivery week over week
- Coordinate with our CMO and outside marketing partners (videographers, ad managers, designers) to keep deliverables on track and on brand
- Support the creation and refinement of presentations, flyers, graphics, and other promotional materials
App & Content Management
- Maintain the quality, accuracy, and freshness of our member app — calls, replays, forms, community posts
- Keep the website updated with current events, replays, and offers
- Build and run engagement workflows that keep members active and informed
Performance & Reporting
- Report event performance and key marketing metrics to Operations leadership clearly and on schedule
- Identify what drove (or missed) the numbers, and bring forward ideas to improve next time
What You Bring
- 3+ years in event coordination, marketing operations, community management, or a similar role — ideally in coaching, education, professional services, or another high-touch client environment
- Demonstrated ability to manage complex, multi-vendor event logistics across long lead times without dropping detail
- Strong written communication — you can draft client-facing emails and announcements that are clear, accurate, and on-brand without heavy editing
- Comfort with marketing tools and platforms: Canva, Zoom, email/CRM platforms, scheduling tools, and basic design
- Data-aware: comfortable pulling and reporting on event and marketing metrics, and translating numbers into insight
- Highly organized, detail-oriented, and proactive — you treat checklists as living tools, not static documents
- Available to travel for live events (typically 2–3 events per year, with travel covered by the company)
