Key Responsibilities and Essential Functions
As a Customer Service and Collections Representative, you will be responsible for managing patient accounts, providing exceptional customer service, and optimizing cash flow. Your key responsibilities will include:
- Managing patient accounts, including receiving and resolving self-pay account balances, negotiating payment arrangements, and documenting payment commitments
- Providing exceptional customer service to patients, including answering calls, responding to emails, and resolving issues in a timely and professional manner
- Validating the accuracy of self-pay balances and determining patient responsibility
- Documenting payment commitments and queuing accounts for future follow-up
- Accepting payments via credit card, check, or cash
- Providing information and support to patients regarding the Financial Assistance Program, including mailing copies of the application or directing patients to the online version
- Referencing calls to other entities handling arenaflex accounts, including bad debt agencies and other external partners
- Meeting productivity and quality expectations, as reviewed monthly with each representative
- Completing special projects as assigned, accurately and in a timely manner
- Providing high-quality service excellence in accomplishing goals and objectives
- Demonstrating proficiency in customer service, customer satisfaction, and service recovery situations
- Maintaining professional and congenial relationships with internal and external customers, including patients, physician office colleagues, and third-party payers
- Avoiding defensive behaviors and responding in a positive, reassuring manner to achieve desired results
Essential Qualifications
To be successful in this role, you will need to possess the following qualifications:
- High School Diploma or General Education Development (GED) equivalent
- Minimum 3 years of experience in a hospital, physician's office, or related healthcare office environment
- Minimum 2 years of experience in healthcare account management with customer service experience
- Basic knowledge of medical terminology
- Basic experience and knowledge of PC applications
- Detailed-oriented, good organizational skills, and ability to be self-directed
- Strong time management skills, managing multiple priorities and a heavy workload in a high-stress atmosphere
- Flexibility to perform other tasks as needed in an active work environment with changing work needs
- High-level problem-solving, analytical, and investigational skills
- Excellent internal/external customer service skills
- Excellent communication skills, including oral and written comprehension and expression
- Ability to learn quickly and meet continuous timelines
- Ability to exhibit behaviors consistent with principles of excellent service
- Ability to demonstrate and maintain competency as required for the job title and the unit/area(s) of assignment
- Ability to exhibit behaviors consistent with standards of performance improvement and organizational values
Preferred Qualifications
While not required, the following qualifications are preferred:
- Bachelor's degree in a related field, such as business, healthcare administration, or communications
- Experience with healthcare billing and collections software
- Certification in customer service or a related field
- Experience working in a fast-paced, dynamic environment
