About the Job

We are seeking a highly organized and proactive Executive Assistant / Administrative Assistant to support our leadership team and contribute to the smooth operation of our office. This pivotal role offers the opportunity to work closely with senior executives, managing a variety of administrative tasks that keep the organization running efficiently.

Responsibilities

  • Manage calendars, schedule meetings, and coordinate travel arrangements for executives.
  • Prepare, proofread, and edit correspondence, reports, and presentations.
  • Organize and maintain files, records, and confidential information with discretion.
  • Coordinate internal and external communications, responding promptly and professionally.
  • Assist in planning and executing company events, meetings, and special projects.
  • Handle expense reports, invoices, and basic bookkeeping tasks as needed.
  • Support team members with various administrative tasks to enhance overall productivity.
  • Anticipate the needs of executives and provide proactive solutions to challenges.

Requirements

  • Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
  • Excellent written and verbal communication skills.
  • Exceptional organizational skills with the ability to prioritize and multitask effectively.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently and collaboratively within a fast-paced environment.
  • High school diploma required; associate or bachelor’s degree preferred.
