Administrative Assistant, Publicity (Focus Features)

NBCUniversal is one of the world's leading media and entertainment companies, and they are seeking an Administrative Assistant for their Publicity team at Focus Features. The role involves assisting with day-to-day administrative tasks, managing publicity schedules, coordinating travel arrangements, and supporting various publicity initiatives.

Responsibilities

  • Administer clerical duties such as correspondence, calendar, travel and expenses, scheduling
  • Coordinate Talent, Filmmaker, and Executive Travel for publicity campaigns: book cars, flights, trains, private charters, and hotels. This includes after-hours and weekend coordination
  • Oversee compilation of breaks from various media sources and distribute breaks, reviews, reactions, and tune-ins to filmmakers and key executives
  • Create, maintain, and send Talent and Filmmaker schedules
  • Liaise and maintain relationships with journalists to pitch interview opportunities, schedule interviews, send screening invitations
  • Assist at press days, press and awards screenings, junkets, premieres, Q&A’s, special events and film festivals. This includes after-hours and weekend events. Create and maintain key publicity documents including master publicity department calendar, film campaign timelines, memos and schedules
  • Monitor social media for relevant breaks, information and activity
  • Coordinate with internal teams and vendors regarding security needs for talent and screenings
  • Organize film screenings for press and representatives
  • Coordinate with Talent reps to arrange hair, makeup and styling and work with glam representatives to negotiate rates
  • Support the day-to-day activities of interns and participate in internship recruitment with other assistants

Skills

  • Bachelor's Degree
  • Minimum of 1-year direct publicity experience as an intern or professional (at an agency, studio or network)
  • Proficient in Microsoft Outlook, Word, Excel, PowerPoint
  • Must be able to work overtime and on weekends as necessary
  • Excellent written and verbal communication skills
  • Ability to work as part of a team and independently on assigned projects
  • Motivated self-starter who is comfortable working in a fast-paced, dynamic environment and is skilled at multi-tasking
  • Reliable and resourceful
  • Personable, social and enthusiastic
  • Degree in media, journalism or communications
  • Prior experience working on film publicity and awards campaigns
  • Working knowledge of specialty and independent films
  • A genuine love and affection for film and global pop culture
  • Working knowledge of trends in the media landscape
