Transaction Coordinator & Executive Assistant (Nationwide Operations)

Job Title: Real Estate Wholesaling Transaction Coordinator Stag Mountain Properties is a nationwide real estate investment and development company specializing in off-market acquisitions, wholesaling, novations, renovations, and creative exit strategies. We operate at speed, across multiple states, with a high-volume contract pipeline. Our model requires discipline, adaptability, and operators who can manage complexity without losing momentum. Role Overview This is a senior-level role that combines high-volume Transaction Coordination with Executive and Personal Assistance. You will be responsible for overseeing more than 20 active contracts at any given time across multiple states, exit strategies, and legal frameworks. In addition to managing transactions, you will function as a right-hand operator to ownership - anticipating needs, managing logistics, and ensuring both business and personal priorities are handled with precision. Primary Responsibilities

  • Lead and manage 20+ real estate transactions simultaneously from contract execution through closing
  • Oversee deals across multiple exit strategies including wholesale, fix-and-flip, novation, and creative finance
  • Coordinate with title companies, attorneys, lenders, escrow officers, and internal teams across multiple states
  • Track and enforce all deadlines, contingencies, extensions, and closing requirements with zero tolerance for missed details
  • Ensure full compliance awareness by researching and adapting to state-by-state real estate laws, closing procedures, and title requirements
  • Maintain highly organized, audit-ready transaction files and CRM records
  • Serve as the primary operational point of contact for active contracts once executed
  • Provide direct executive support to ownership, including calendar management, prioritization, follow-ups, and time protection
  • Assist with personal and business logistics such as booking travel, coordinating schedules, and handling sensitive or time-critical requests
  • Support active renovation and flip projects by assisting with appliance sourcing, vendor coordination, and operational tracking
  • Proactively identify bottlenecks, risks, or issues and implement solutions before they impact closings
  • Act as a trusted gatekeeper and communication filter for leadership when appropriate Required Experience & Qualifications
  • Demonstrated ability to manage 20+ concurrent real estate transactions from start to finish
  • Strong, working knowledge of real estate transactions and closing processes (non-negotiable)
  • Comfortable operating across multiple states with varying laws, customs, and transaction structures
  • Proven ability to independently research and understand state-specific real estate requirements
  • Previous transaction coordination experience strongly preferred
  • Exceptionally organized with systems-oriented thinking
  • High level of discretion, professionalism, and trustworthiness
  • Ability to work remotely while maintaining structure, urgency, and accountability
  • Clear, confident written and verbal communication skills
  • Calm under pressure with the ability to prioritize effectively in a fast-paced environment Compensation & Work Structure Salary: $50,000 annually (dependent on experience and demonstrated capability) Pay Schedule: Bi-weekly Location: Remote (U.S.-based) Schedule: Flexible, outcome-driven This role is designed for a seasoned operator who thrives in complexity and takes pride in being the backbone of a high-performing organization.
