Key Responsibilities

  • Oversee day-to-day operations of the remote office, including answering phones, responding to emails, managing incoming and outgoing correspondence, and managing service appointments
  • Coordinate scheduling of technicians for service calls, installations, and repairs, ensuring timely and efficient dispatching
  • Monitor technician schedules and adjust as needed to accommodate emergencies or last-minute changes, demonstrating flexibility and problem-solving skills
  • Serve as the primary point of contact for customer inquiries, scheduling appointments, and addressing concerns or complaints in a professional and courteous manner
  • Ensure excellent customer service by promptly responding to customer inquiries and resolving issues in a timely and effective way
  • Organize and maintain systems for documents, invoices, and client records, utilizing strong attention to detail and organizational skills
  • Process payments from customers and follow up on overdue accounts as necessary, demonstrating strong time management and multitasking abilities
  • Assist in setting up and implementation of ServiceTitan, our dispatching software, and provide feedback for continuous improvement
  • Perform additional responsibilities to support the growth and development of our organization, including participating in training and development programs

Essential Qualifications

To be successful in this role, you will need to possess the following skills and experience:

  • Experience in dispatching, preferably in a similar industry such as plumbing, HVAC, or electrical services
  • Proficiency in Google Suite, Slack, and dispatching software such as ServiceTitan
  • Excellent time management skills, with the ability to multitask, prioritize work, and meet deadlines
  • Strong attention to detail, problem-solving skills, and ability to think critically
  • Excellent communication skills, with the ability to effectively interact with customers, suppliers, and team members
  • Familiarity with plumbing/HVAC/service terminology, processes, and materials, although not required, can be beneficial for understanding the business and communicating effectively with technicians and customers
  • Must have a clear background check and be willing to undergo a thorough screening process
