Experienced Full Stack Staff Assistant – Remote Data Entry & Office Operations

Why You'll Love This Role

This position is part of the Airport Stations Group within the Customer Experience Division at blithequark. As a Staff Assistant, you'll be responsible for performing a wide range of administrative tasks, including:

  • Scheduling meetings and events
  • Writing, editing, and proofreading documents
  • Ensuring phone coverage and coordinating client interactions
  • Managing mail, ordering office supplies, and processing P-card expenses
  • Tracking commemorations and birthday events
  • Coordinating travel and accommodation arrangements
  • Providing support for management presentations and special events

What You'll Do

* Assist with planning and coordination of management presentations and special events as required

  • Monitor, review, and screen all local requests through InvoiceWorks and disperse as needed
  • Investigate and resolve office technology issues, including phone and copier machines
  • Track and ensure employees complete onboarding tasks, including system access, storage space allocation, letter drops, uniforms, ID cards, fingerprinting, training, etc.
  • Assist with station event planning, coordination, and execution (e.g., team-building activities, lunch meetings, event dinners, recognition events)
  • Handle finance processing in Workbrain for management and care staff
  • Process deprivation letters and arrange local communications and responses
  • Oversee employee termination, including approvals and tasks as required
  • Assist with timekeeping capabilities, data entry, data validation, compromises, and recording
  • Maintain employee records as needed
  • Maintain station meeting plans, including monthly crisis response
  • Access and manage various intermittent reports, including performance, review, cost, employee engagement, and recognition, etc.
  • Update required manuals
  • Maintain all security-related items
  • Serve as backup for other finance capabilities
  • Oversee records for OSHA, security, etc. (301's, weekly and annual)
  • Assist with budget planning and compromise, including monthly reconciliation of landing charges
  • Uphold inspecting exercises as required
  • Track and confirm incentive reserves earned
  • Liaise with CRE/Offices and vendors to follow local projects, as needed
  • Lead/coordinate work with other care staff, as needed
  • Perform other duties as required

All You'll Need for Success

* Bachelor's degree in any field

  • Previous office/administrative experience
  • Familiarity with Microsoft Office, including Word, Excel, PowerPoint, and Outlook
  • Knowledge of procedures, policies, and corporate guidelines
  • Ability to focus on work, be meticulous, and meet time constraints
  • Ability to multitask in a fast-paced environment and handle multiple tasks
  • Ability to be self-motivated and proactive
  • Ability to understand the functionality and purpose of specific software and systems
