Key Responsibilities

  • Settle customer shipments and assist in preparing monthly claims, ensuring accuracy and attention to detail.
  • Create invoices and bills in QuickBooks, maintaining up-to-date financial records.
  • Verify customer logs, identifying and resolving any discrepancies.
  • Maintain filing systems both electronically and in paper, ensuring easy access to information.
  • Communicate with customers and operation groups regarding shipment report discrepancies, providing timely and effective solutions.
  • Perform various administrative tasks, including answering phone calls, greeting visitors, preparing payroll times, and more.
  • Take on other office administrative related assignments as needed, demonstrating flexibility and a willingness to adapt.

Essential and Preferred Qualifications

To excel in this role, you'll need:

  • A high school diploma with some college education or 1+ year of office work experience.
  • Proficiency in MS Office (Excel, Word, PowerPoint, Outlook, SharePoint), with a strong emphasis on Excel.
  • Good oral and written communication skills, with the ability to effectively interact with customers and team members.
  • A working knowledge of QuickBooks is a plus, although not required.
  • The ability to work independently and as a team member in a dynamic environment.
  • Strong organizational skills, with attention to detail and the ability to multitask and prioritize projects to meet deadlines.
