Position Overview

As a Remote Veterinary Receptionist, you'll play a vital role in supporting multiple veterinary hospitals simultaneously. You'll be responsible for managing appointment scheduling, answering client inquiries, and assisting with various administrative tasks. This is a part-time remote position, requiring flexibility and availability to work across all U.S. time zones.

Key Responsibilities

  • Remote Work Environment: This is a remote position, and you will not be working at a practice. You'll need to be self-motivated and able to work independently.
  • Flexibility: Flexibility is essential for success in this role. You'll need to be available to work part-time hours, ranging from 15 to 29 hours per week.
  • Time Zone Availability: You must be able to work across all U.S. time zones, including rotating weekends.
  • Multi-Hospital Support: You'll assist multiple veterinary hospitals simultaneously as needed, requiring excellent organizational and communication skills.
  • Company Meetings: You'll be required to attend company meetings, which will be conducted virtually.
  • Client Communication: You'll answer incoming calls and respond to client inquiries for multiple hospitals simultaneously, providing exceptional customer service and support.
  • Appointment Scheduling: You'll schedule and confirm appointments for veterinary services, ensuring seamless communication with clients and the veterinary team.
  • Record-Keeping: You'll maintain accurate records and files for clients and pets, ensuring confidentiality and data integrity.
  • Payment Processing: You'll process payments and manage client billing inquiries, requiring attention to detail and organizational skills.
  • Medical Records: You'll assist in handling medical records, ensuring confidentiality and compliance with regulatory requirements.
  • Client Education: You'll provide information about services, procedures, and pet care, supporting client education and engagement.
  • Collaboration: You'll collaborate with the veterinary team to ensure smooth operations, requiring excellent communication and interpersonal skills.
  • Follow-up: You'll follow up with clients regarding their pets' appointments and care, ensuring continuity of care and client satisfaction.

Requirements and Qualifications

To be considered for this role, you'll need to meet the following requirements:

  • Experience: A minimum of 3 years working in a veterinary practice, with experience in receptionist or administrative roles.
  • Language Skills: Fluency in English and Spanish (spoken and written) is preferred, but not required.
  • Availability: Availability to work Monday - Friday 7:00 AM until 10:00 PM EST with rotating weekends is required.
  • Communication Skills: Efficiently managing incoming calls, text messages, and emails for multiple hospitals, while placing callers on hold when necessary.
  • Internet Requirements: A reliable internet connection with a minimum of 25 Mbps download and 9 Mbps upload speed is required. Please test your internet speed using speedtest.net and attach the results to your application.
